The Office Manager supports daily operations within a fast-paced vertical takeoff and landing aircraft development environment. This role ensures smooth office functionality, facilitates communication between engineering, manufacturing, and program management teams, and supports compliance-driven administrative processes related to aviation, safety, and engineering documentation. The Office Manager plays a key role in keeping the organization efficient, organized, and aligned with industry standards.

Due to the nature of the work required for this position, this is an onsite opportunity. You will be required to work from our Mountain View, CA office.

What you will do: 

Office & Administrative Operations
  • Oversee daily office operations for a high-tech aerospace environment, ensuring a clean, organized, and efficient workspace.

  • Manage office supplies, equipment, facility needs, and relationships with vendors and contractors.

  • Implement and maintain office procedures, communication systems, and workflow tools tailored to program needs.

  • Support engineering, flight-testing, and program management teams with scheduling, document control, meeting coordination, and administrative tasks.

  • Coordinate cross-functional meetings involving engineering, manufacturing, operations, certification, flight test, and leadership teams.

  • Ensure secure access controls and compliance for sensitive facilities such as manufacturing floors, labs, and prototype assembly areas.
     

Financial & Procurement Support
  • Process invoices, track budgets for office and operational expenses, and assist with basic procurement workflows.

  • Coordinate purchase orders as needed.
     

HR, Onboarding & Culture Support
  • Coordinate onboarding for new employees and contractors, including workspace setup, safety training, and orientation schedules.

  • Support company culture initiatives: team events, all-hands meetings, internal communications, and recognition programs.

  • Generating badging and assigning access control to new hires

Scheduling & Communication
  • Manage calendars for leadership and program leads, schedule internal and external meetings support when needed 

  • Serve as the primary communication hub for office-wide announcements, updates, and cross-team coordination with support from marketing and the executive team 

  • Provide front-office support for visitors, vendors, auditors, and partners involved in aircraft development.

Requirements

  • 3+ years of office management or administrative experience; aerospace or hardware-focused industry preferred.

  • Strong organizational, multitasking, and communication skills.

  • Proficiency with productivity tools (Microsoft Office, Google Workspace, and project management).

  • Ability to work in a fast-paced R&D, engineering, or prototyping environment.

  • Understanding of document control, compliance processes, or regulated workflows.

Compensation and Benefits:

Job Type: Full-time

Pay range the company expects to pay: $27 - $33 per hour - The starting base rate within this range for this role varies based on factors such as your geographical location, and your relevant job-related experience that is consistent with a business necessity.
