Office Assistant — Part-Time

Location: 627 W Avenue Q, Palmdale, CA 93551 | On-sit

Schedule: Part-Time, 20 hours/week | 4 weekdays, 10:00 AM–2:00 PM + Saturdays, 8:30 AM–12:30 PM

Required Availability: Candidates must be available for four weekday shifts (Monday–Friday) from 10:00 AM–2:00 PM and every Saturday from 8:30 AM–12:30 PM. One weekday will be designated as the regular day off.

Pay: $20.00–$23.00/hour, DOE

Training Provided: We’re willing to train the right candidate! Bring a positive attitude, reliability, strong customer-service skills, and a willingness to learn—we’ll teach you our systems and workflows.

About the Role

We’re looking for a proactive, organized, and hands-on Office Assistant to support the day-to-day operations of our growing ABA organization.

This is a dynamic, cross-functional role for someone who enjoys variety, problem-solving, and being the person who helps keep things moving behind the scenes. You’ll work closely with our Management, Clinical, Scheduling, Human Resources, and Marketing teams, providing administrative and operational support that helps our clinicians stay focused on delivering high-quality services to our clients and families.

No two days will look exactly the same. You may be supporting scheduling and administrative projects one day, preparing clinical materials or coordinating office needs the next, and assisting with technology, inventory, or special projects as they arise.

What You’ll Do

As an Office Assistant, you’ll help support the systems, resources, and day-to-day tasks that keep our teams organized and our operations running smoothly.

Key Responsibilities:

  • Provide administrative support to the Scheduling Team, including data entry, phone calls, emails, and other coordination needs
  • Assist with operational projects across Management, Clinical, Human Resources, Scheduling, and Marketing
  • Create, organize, and maintain learning materials, therapy tools, and crafts used by our clinical teams
  • Purchase and coordinate supplies for marketing initiatives, clinical programs, office needs, and special projects
  • Assemble and maintain PPE and supply kits for therapists
  • Assist with billing audits, data entry, filing, and document organization
  • Provide basic IT and equipment support, including software updates, troubleshooting, and workstation or device setup
  • Monitor office and clinical supply inventory and coordinate replenishment as needed
  • Help maintain required office records, postings, supplies, and operational compliance items
  • Complete local errands, pickups, deliveries, and other operational tasks as needed
  • Assist with maintaining an organized, clean, and functional office environment
  • Support additional operational projects and priorities as the needs of the organization evolve

Must Haves

  • High school diploma (minimum requirement)
  • Strong time management skills and ability to meet deadlines
  • Detail-oriented with a problem-solving mindset
  • Ability to work independently and take initiative
  • Trustworthy and professional (may involve running errands for Management)
  • Growth mindset and eagerness to learn
  • Valid driver’s license and reliable transportation (travel may be required)
  • Basic handy skills (e.g., changing lightbulbs, minor repairs)
  • Basic IT skills (e.g., software updates, troubleshooting)
  • Proficiency in Microsoft Office & Google Suite (Docs, Spreadsheets, Calendar, etc.)
  •  Strong internet research skills

Physical Requirements- This is an active role that requires the ability to

  • Stand, sit, lift up to 30 pounds, bend, kneel, and twist as needed

Nice to Haves

  • Adobe Photoshop experience
  • 1+ years of administrative experience
  • 2+ years of experience with Microsoft Office
