Job Description

The Move & Furniture Logistics Coordinator is a dual role in the Furniture and Move Teams. The coordinator is responsible for coordinating the day-to-day movement, delivery, and installation of furniture across offices and project sites. This role independently manages small-scale projects (e.g., individual moves, furniture swaps, minor reconfigurations) and provides hands-on logistics and team support on larger projects led by the Associate Furniture Logistics Planner. The Coordinator partners with Facilities, Workplace Planning, vendors, and internal stakeholders to ensure furniture is delivered and installed on time, in the right quantities, in the expected condition, and in the correct locations—with accurate inventory tracking and clear, proactive communication. The Coordinator also provides cross-functional support for daily moves and broader move initiatives, as needed.

Key Responsibilities
● Coordinate deliveries, moves, and installations
● Schedules on-site deliveries, removals, replacements, staging, and installation crews.
● Confirm site readiness (access, loading dock reservations, elevators, security/badging, after-hours access).
● Vendor management
● Onsite delivery oversight for tasks and projects.
● Vendor Quotes, invoice management, inventory tracking,
● Task tracking
● Maintain trackers, delivery documentation, delivery confirmations
● Provide proactive status updates to team and client
● Inventory and asset control
● Support receiving, tagging/labeling, counting, and system updates for stock, surplus, and redeployable inventory.
● Coordinate transfers between sites and manage furniture storage utilization.
● On-site logistics and quality checks
● Field verifications
● Oversee receiving and staging/placement of furniture per test fit or scope.
● Coordinate punch lists, warranty requests, replacements, and returns.
● Project support (large projects)
● Provide on-the-ground logistics support for large projects led by the Associate Furniture Logistics Planner, including field verifications, audits, staging, decommissions, and events.
● Assist with phasing and swing-space logistics as directed by the project lead.
● Small project ownership
● Independently plan and execute small-scale furniture projects (e.g., single-room reconfigurations, furniture refreshes, small office setups) from request through completion.
● Coordinate directly with requestors and vendors for scope, scheduling, and delivery on small projects.
● Continuous improvement
● Improve standard work, templates, and metrics; recommend process changes to reduce cost and create efficiencies
● Move Coordination Support ● Provide backup support for daily moves, including scheduling, work-order coordination, and day-of execution support, as needed. ● Support client initiatives as needed, including packing and staging for special workplace programs.

Qualifications

Required Qualifications
● 2+ years in logistics, facilities operations, furniture installation coordination, moves/adds/changes, or similar operations coordination.
● Experience coordinating multiple vendors and workstreams in a fast-paced environment.
● Strong organizational skills: ability to manage trackers, schedules, and detailed documentation.
● Proficient with common productivity tools (spreadsheets, ticketing systems, email/chat).
Preferred Qualifications
● Experience with corporate workplace/facilities, or small-scale office projects.
● Exposure to inventory/asset, task systems (e.g., CMMS, specialized warehouse inventory systems)
● Knowledge of basic furniture standards (workstations, seating, ergonomics) and installation sequencing.
● Ability to read simple floorplans or coordinate against space plans.

● Problem solving under constraints (dock access, delays, missing parts, damage).
● Attention to detail (counts, locations, documentation).
● Vendor coordination and accountability
● Time management and prioritization
Working Conditions
● Mix of desk work and on-site coordination in loading docks, storage rooms, and office floors.
● Ability to lift/light move items (as applicable) and walk job sites; occasional after-hours/weekend support during moves or installs.
Example Deliverables
● Daily/weekly logistics tracker and delivery calendar
● Receiving checklists, punch lists, and closeout documentation
● Inventory reconciliation reports and surplus/redeployment logs

Additional Information

The base salary range for this role is $85,000-$100,000. This range reflects the company's good faith estimate of the base salary for this position at the time of the posting. Final compensation will be determined based on factors including experience, skills, qualifications, and internal equity. In addition to base salary, employees may be eligible for bonuses and a comprehensive benefits package.
