Napa Post Acute is seeking an organized, detail-oriented, and people-focused Human Resources / Payroll Coordinator to support our growing skilled nursing team. This is an excellent opportunity for an HR professional who enjoys a fast-paced healthcare environment and has experience with staffing, onboarding, employee relations, payroll processing, and compliance.

Working closely with the Administrator, DON, department managers, and corporate HR team, you will play a key role in ensuring our facility remains fully staffed, compliant, and supportive of our employees.

Position Summary

The Human Resources / Payroll Coordinator assists in the administration of facility HR operations, staffing, onboarding, employee records, compliance programs, and payroll processing. This role serves as a key resource for employees while helping maintain a positive workplace culture and ensuring compliance with federal, state, and company regulations.

Key ResponsibilitiesHuman Resources & Staffing
  • Coordinate recruitment activities and job postings
  • Screen candidates and schedule interviews
  • Assist with hiring, onboarding, and employee orientation
  • Maintain employee personnel files and HR records
  • Process employment status changes, transfers, promotions, and terminations
  • Assist employees with benefit enrollment and HR-related questions
  • Partner with leadership and corporate HR on employee relations matters
  • Support workers' compensation and leave administration processes
  • Ensure compliance with labor laws, company policies, and regulatory requirements
  • Conduct regular audits to maintain HR compliance standards
Training & Compliance
  • Coordinate new hire orientation programs
  • Track employee training, certifications, and in-service attendance
  • Schedule required in-services and compliance education
  • Assist with facility survey preparation and regulatory readiness
  • Coordinate employee health screenings and required testing
  • Document and coordinate fire and disaster drills
Payroll Administration
  • Process payroll accurately and on schedule
  • Review and maintain employee payroll records
  • Monitor PTO, sick leave, and vacation accruals
  • Process payroll adjustments, garnishments, and deductions
  • Prepare manual and final paychecks as required
  • Complete employment verifications
  • Reconcile payroll reports and resolve discrepancies
  • Maintain confidentiality of payroll information
  • Prepare payroll and labor allocation reports
General Administrative Duties
  • Generate reports and maintain data accuracy
  • Respond to employee inquiries professionally and promptly
  • Support facility leadership with administrative projects
  • Promote a positive and collaborative work culture
  • Perform other duties as assigned
QualificationsRequired
  • High School Diploma or equivalent
  • Minimum 2 years of administrative experience
  • Experience in staffing, payroll, HR, recruiting, or employee onboarding
  • Strong organizational and time-management skills
  • Excellent communication and customer service abilities
  • Proficiency with Microsoft Office and computer systems
  • Ability to maintain strict confidentiality
Preferred
  • Human Resources experience in a healthcare, skilled nursing, or post-acute setting
  • College coursework in Human Resources, Business Administration, or related field
  • Knowledge of California employment laws and payroll practices
