HR Administrative Specialist

Position Summary: 

ESAero is seeking an HR Administrative Specialist to provide high-level administrative and project support within the HR department. This role requires excellent communication skills, strong attention to detail, and advanced Excel abilities to manage data, reporting, and projects in a fast-paced environment. The ideal candidate is highly organized, adaptable, and able to pivot quickly as priorities change. 

 

Key Responsibilities: 

  • Perform a variety of administrative functions to support HR operations, including data entry, document preparation, and record management. 

  • Create, maintain, and analyze HR reports and dashboards using advanced Excel functions (pivot tables, VLOOKUP, formulas, etc.). 

  • Coordinate and track HR projects, ensuring deliverables are met on time and within scope. 

  • Assist with employee communications, including drafting correspondence, announcements, and reports. 

  • Assist with onboarding, offboarding, and other HR programs as needed 

  • Maintain employee files, ensuring compliance with policies and regulations. 

  • Respond to internal inquiries and provide high-quality customer service to employees and managers. 

  • Adapt quickly to shifting priorities and support multiple projects simultaneously. 


Qualifications: 

  • Associate’s or Bachelor’s degree in Human Resources, Business Administration, or related field preferred. 

  • Strong administrative background, minimum of 3 years experience, preferably in HR or a corporate environment. 

  • Advanced proficiency in Microsoft Excel (pivot tables, formulas, VLOOKUP, data analysis). 

  • Exceptional written and verbal communication skills are required. 

  • Proven ability to coordinate projects, track progress, and meet deadlines. 

  • Strong attention to detail with excellent organizational and time management skills. 

  • Ability to work independently as well as collaborate effectively with different departments. 

  • Excels in managing multiple tasks/projects in a fast-paced environment with shifting priorities. 

  • Experience with HRIS or payroll systems is preferred.
