We’re seeking a task-driven, diligent, motivated, detail-oriented, and tech-savvy HR & Admin Assistant to support our daily office operations and HR functions, and to help streamline the administrative processes of the company.
What You’ll Do- Conduct reference checks and support the offer letter process.
- Coordinate new employee onboarding, including orientation sessions and collaboration with IT to ensure timely setup of email, accounts, and systems access.
- Run background checks (MVR & ADP Screening Services).
- Draft offer letters in collaboration with department managers and send approved versions to candidates.
- Manage office supplies and inventory; handle correspondence and provide general administrative support.
- Maintain accurate employee records and update HR databases as needed.
- Assist with processing new vendor applications.
- Maintain organized filing systems, including documentation for fleet vehicles.
- Oversee device assignment and tracking for company-owned equipment (e.g., laptops, phones, access cards).
- Order and manage office supplies, IT equipment, and office furniture.
- Support planning and coordination of employee engagement activities.
- Coordinate office maintenance and related services.
- Greet visitors, receive packages, and manage front desk responsibilities.
- Maintain both physical and digital filing systems.
- Assist with social media and website updates, including creating and scheduling posts and managing online reviews.
- Minimum of 2 years’ experience in a similar role (e.g., HR Assistant,, Office Administrator, etc)
- Excellent organizational, verbal, and written communication skills; personable.
- Works well under pressure in fast-paced environments
- High level of discretion and professionalism when handling confidential and sensitive information, ensuring compliance with privacy policies and regulations
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Strong attention to detail and advanced administrative and organizational abilities.
- Solid understanding of HR practices and confidentiality standards
- Diligent in maintaining accurate records and proactively following up on missing information across essential databases, platforms, and spreadsheets to ensure all required data is reviewed and updated on a weekly basis.
- Skilled at managing multiple, concurrent deadlines and balancing the demands of cross-functional departments in high-pressure environments.
- A strong listener with an investigative and inquisitive mindset, able to dig deeper to uncover key details.
- Positive, proactive attitude with strong problem-solving skills
- A growth mindset with a passion for continuous learning and development.
Preferred:
- Diploma or degree in HR, Business Administration, or a related field
- Minimum of 2 years of experience in HR, office administration or similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other administrative software
