About the Role
We are seeking a detail-oriented and execution-focused Global Travel Coordinator to support NinjaOne's global travel program. The Travel Coordinator will be responsible for managing day-to-day travel arrangements in Navan, assisting with travel reconciliation and virtual card usage in partnership with Finance, and ensuring seamless travel experiences for NinjaOne employees. This role requires strong organizational skills, excellent customer service, and the ability to thrive in a fast-paced, high-growth environment. Reporting to the Sr. Manager, Global Travel, the Coordinator will play a critical role in ensuring service excellence and program compliance across our business travel needs.
Location - Hybrid in Austin, TX - (In the office 3 days per week Mon, Tues, & Thurs)

What You'll be Doing
- Coordinate global travel arrangements for employees, candidates, and partners, including flights, ground transportation, and lodging.
- Book and manage travel through Navan , ensuring accuracy in dates, spelling, and details for each itinerary.
- Support virtual travel card usage , expense reconciliation, and reporting in partnership with Finance and Airbase.
- Act as the first line of support for employee travel questions, issues, or disruptions, escalating complex matters to the Sr. Manager as needed.
- Ensure compliance with NinjaOne's travel policies and proactively communicate guidelines to
- travelers and arrangers.
- Maintain organized travel records, confirmations, and documentation for each trip.
- Assist in tracking travel data, preparing reports, and identifying trends to support program optimization.
- Collaborate with airlines, hotels, and vendors to resolve issues and provide timely solutions.
- Partner with the Sr. Manager and broader team on global travel projects, such as hotel programs, policy rollouts, and communications.
- Provide on-call travel coordination support during evenings or weekends when needed.
- Other duties as needed
About You
- 2+ years of corporate travel coordination or related experience, ideally in a global environment, is preferred.
- Proficiency with Navan (or similar travel management systems) is a plus.
- Familiarity with expense systems such as Airbase is a plus.
- Strong attention to detail, with the ability to manage multiple bookings simultaneously and avoid errors.
- Excellent written and verbal communication skills, with a service-oriented and empathetic approach.
- Highly organized, with strong time-management skills and the ability to prioritize under pressure.
- Problem-solving mindset with the ability to handle travel disruptions calmly and effectively.
- Known for being collaborative, dependable, and responsive to stakeholder needs.
- Flexible to support after-hours or weekend travel requests when needed.
