Front Office Manager Temporary long term substitute for maternity leave

Job Title: Front Office Manager – Temporary

Division/Department: Administration

Location: Palos Verdes

Type of Position/FLSA: Non-Exempt/Hourly

 

POSITION DESCRIPTION

 

This position is considered to be an ambassador representing the Chadwick School values and the Chadwick community. Must be able to handle busy phone and foot traffic quickly and accurately. Should greet everyone with a positive, helpful, and inviting manner. Willing to serve and oversee assistance through completion and communicate with others on any follow-up matters.

 

MAJOR RESPONSIBILITIES

 

CUSTOMER SERVICE

  • Understand campus procedures and be able to answer all questions regarding Chadwick’s operations.
  • Maintain high-quality customer follow-up.
  • Execute service recovery when needed.
  • Oversee reception desk workflow and coverage.

SUPPORT

  • Provide support for the Head of School, Assistant Heads of School, Chief of Staff, and CFOO, as needed.
  • Assist the Business and Development office with incoming payments.
  • Coordinate with facilities/risk management for campus emergencies.
  • Provide support for high seasonal activities and events where required.
  • Complete miscellaneous projects as assigned.

MAIL

  • Receive and sort mail, maintain faculty/staff mailboxes, and assist delivery drivers as needed.

PHONES

  • Answer phones and address questions, if possible, or forward to the proper office or department.
  • Ensure phone tree accuracy.
  • Pass along voicemails and messages to the right office or department.

PICTURE DAY & IDs

  • Coordinate with external vendor to plan and hold school picture day.
  • Follow up, as needed, to ensure printouts of Village class photos, support for parents/caregivers with questions, etc.
  • Draft requisite messaging for families.
  • Distribute, reprint, and track student IDs, as needed.

SUPPLIES

  • Order, maintain, and distribute all school/lounge supplies.

CALENDARING

  • Assist with calendaring as needed
  • Assist in maintaining, adding, and updating the master calendar throughout the school year.
  • With the Chief of Staff and the Transportation Manager, monitor events for CUP compliance.
  • Add events to specific calendars, as needed or as requested.
  • Ensure there are no conflicts, particularly with spaces and times.
  • Manage and oversee the calendar import process with the Chief of Staff.
  • Help reserve, assign, and approve spaces for meetings and events, as needed.
  • Provide answers to calendar questions from members of the community and beyond.
Qualifications, education, experience and skill requirements

EDUCATION, EXPERIENCE, & SKILL REQUIREMENTS

 

  • Bachelor’s degree preferred.
  • Proficient in Microsoft Office and Google Workspace.
  • Excellent customer service skills.
  • Strong sense of teamwork.

 

Compensation: $28.00 - $32.00 – Hourly rated based on years of experience, credentials and other qualifications.
