Position Summary

The Front Desk Associate serves as the central hub of information, hospitality, and member support at Gravitas Beverly Hills, a private members-only club. This role goes far beyond traditional hosting—functioning as a warm, polished, and highly resourceful concierge who creates an elevated and seamless member experience from arrival to departure.

The Concierge greets members and their guests, manages reservations and inquiries, upholds club rules with grace and discretion, and assists with membership-related needs while maintaining the highest level of professionalism and confidentiality. As the first and last point of contact, this position sets the tone for the Gravitas experience by anticipating needs, exceeding expectations, and fostering meaningful relationships.

Key Duties & Responsibilities

Member Experience & Hospitality

  • Provide a warm, genuine, and elevated welcome to all members and guests upon arrival.
  • Serve as a knowledgeable, polished concierge—offering assistance, information, and accommodations whenever possible without compromising club policies.
  • Anticipate member needs and proactively provide solutions, personalized support, and thoughtful touches that enhance the Gravitas experience.
  • Maintain a gracious, calm, and professional presence at all times, even during high-volume periods.
  • Uphold and communicate club rules with discretion, kindness, and consistency.

Front Desk Operations

  • Manage all reservation systems, waitlists, guest lists, events lists, and member profiles with accuracy and efficiency.
  • Coordinate seating, table readiness, and service flow in collaboration with the restaurant and operations teams.
  • Answer all phone calls, emails, and inquiries with clarity, warmth, and professionalism.
  • Maintain a fully stocked, organized, and polished front desk area including supplies, daily sheets, and updated materials.
  • Monitor VIP arrivals, special member requests, and club occupancy throughout each shift.
  • Maintain strict confidentiality of all members, guest, and company information.

Membership Support & Outreach

  • Assist the Membership Director by helping nurture relationships with members and prospective members.
  • Provide information about club programs, amenities, events, and membership services.
  • Support lead generation by warmly interacting with guests, directing inquiries to membership staff, and ensuring prospects receive exceptional first impressions.
  • Maintain accurate notes on member interactions, preferences, guest activity, and follow-up needs.
  • Serve as a brand ambassador, representing he club’s culture of exclusivity, hospitality, and community.

Communication & Collaboration

  • Act as the information center for daily operations, relaying accurate updates to all departments as needed.
  • Participate in shift meetings to review VIPs, events, reservations, and key priorities.
  • Communicate special accommodations, member preferences, and service alerts to the appropriate teams.
  • Collaborate closely with the GM, AGM, Membership Director, and service teams to ensure a cohesive member experience.

Other Duties

  • Maintain professional appearance standards consistent with the Gravitas brand.
  • Assist with check-in, guest authorization, and identification procedures.
  • Support club events, member activations, and special evenings as needed.
  • Perform additional responsibilities as assigned.

Skills & Qualifications

  • Minimum 2 years of experience in front desk, concierge, luxury hospitality, or membership-based environments.
  • Strong interpersonal and communication skills with a natural warmth and polished demeanor.
  • Proven ability to multitask, remain composed, and manage high-pressure situations gracefully.
  • Experience with reservation platforms; ability to learn new systems quickly.
  • Exceptional organizational skills with strong attention to detail.
  • Ability to uphold confidentiality and sensitive information with discretion.
  • Self-starter with a proactive, solution-oriented mindset.
  • Flexible availability including evenings, weekends, holidays, and special events.
  • Valid, non-expired Food Handler’s card (preferred but may be required depending on operations).

Physical Requirements

  • Must be able to stand, walk, and remain on feet for extended periods.
  • Must be able to bend and lift up to 40 lbs as needed.
  • This role may include repetitive motions typical of front desk operations.
