The Accounts Payable Specialist will be responsible for managing all purchase order workflows from inception to completion across the organization to keep up with current and forecasted business needs. The Accounts Payable Specialist will work cross-departmentally with different teams including engineering, marketing, sales, operations, and facilities, to create purchase orders, follow up on outstanding items, and coordinate with third-party vendors to ensure the efficient flow of the procurement process. In addition, the Accounts Payable Specialist will also help to source and maintain suppliers/vendors, negotiate terms, and work closely with Legal and Information Technology to negotiate and maintain an efficient renewal process. The Accounts Payable Specialist will support and maintain existing procurement practices while proactively identifying areas for improvement and ability to grow with the organization. The Accounts Payable Specialist will work under the day-to-day direction of the Sr. Accounting Manager with guidance from Legal, IT, Security, Finance, and other functional managers for continued improvement of procurement practices

What You'll Do

  • Issue purchase orders quickly and without error
  • Manage the implementation of new vendors, ensuring all requirements have been met
  • Reply to vendor inquiries and maintain relationships with suppliers both domestically and internationally
  • Create and maintain a company-wide purchasing workflow
  • Assist in resolving invoice issues to ensure that vendors are paid on time
  • Be cost savings focused and an effective negotiator
  • Lead miscellaneous procurement projects both domestically and internationally
  • Leverage ticketing, procurement, and ERP system as well as other internal tools to coordinate and complete purchases
  • Maintain master Vendor File

Who You Are

  • Keen judgment, make sound independent decisions, and know when to escalate
  • Excellent customer service skills including an engaging personality and optimistic outlook
  • Detail-oriented, good organizational and time management skills
  • Excellent verbal and written communication skills with the ability to interact at all levels of the organization
  • Quick learner and ability to prioritize appropriately to meet customer and company needs
  • Ability to negotiate and interact with suppliers on pricing, lead times and demand planning
  • Strong time-management and people skills, flexibility, and multitasking ability
  • Bachelor's degree in accounting, finance, or business
  • Previous work experience in purchasing
  • Quick learner and ability to prioritize appropriately to meet vendor and company needs
  • Experience developing internal systems
  • A background working in startups or technology is preferred
  • Proficiency with G Suite of tools, with aptitude to learn new software and systems
  • Experience with Jira, Accrualify, Sage Intacct or Netsuite is a plus
