Over The Moon is looking for an experienced Finance Manager or Director who will own Over the Moon’s core financial operations on a day-to-day basis while supporting leadership with actionable insights to drive growth. This role is highly hands-on, combining bookkeeping and accounting oversight with forecasting, reporting, and business analysis, while liaising with OTM’s external accounting firm.
Key Functions & ResponsibilitiesDay-to-Day Finance Operations
- Manage accounts payable/receivable, vendor payments, invoicing, and expense tracking.
- Oversee Shopify and payment processor reconciliations; ensure returns, discounts, and vendor payouts are recorded accurately.
- Manage sales tax processing.
- Partner with external accountants to run monthly, quarterly and yearly closes and prepare financial statements.
Cash Flow & Working Capital
- Monitor daily and weekly cash flow to ensure liquidity for vendor payments and operations.
- Maintain a rolling 12-month cash forecast.
- Proactively flag risks and opportunities to leadership.
Financial Reporting
- Produce monthly P&L, balance sheet, and cash flow reports with clear variance analysis.
- Track gross margin, vendor payout ratios, discounts, and return rates.
- Create simple dashboards to communicate performance to leadership.
Budgeting & Forecasting
- Build and maintain operating budgets across departments in collaboration with leadership.
- Update forecasts based on actual performance.
- Run scenario analyses to support key decisions (e.g., potential capsules, wholesale orders, marketing spend levels, staffing, registry contingent liability growth and more).
Strategic Finance & Growth Support
- Ascertain and monitor contribution margin as a whole and on order economics on a partner-basis.
- Model new revenue opportunities (e.g., directory, styling, events, wholesale initiatives) and evaluate ROI.
- Support fundraising, investor updates, and debt facility negotiations as needed.
- Conduct scenario planning to help leadership evaluate strategic decisions (marketing spend levels, margin optimization, registry conversion, etc.).
Risk Management & Compliance
- Ensure compliance with tax, audit, and regulatory requirements.
- Manage insurance policies and conduct financial risk assessments.
Process & Systems
- Maintain financial controls and improve workflows for vendor payouts, returns, and customer refunds.
- Own QuickBooks, Bill.com, etc., and ensure integrations with Shopify and banking are accurate.
- Support selection and implementation of new finance tools as needed.
Requirements
- 4-7+ years in finance/accounting roles (controller, FP&A, or finance manager capacity).
- Hands-on experience with QuickBooks (or similar), Shopify/e-commerce finance, and Excel/Google Sheets.
- Comfort rolling up sleeves to own bookkeeping details while also providing high-level analysis.
- Strong attention to detail and process orientation.
- Startup/lean team background highly preferred.
