Role Overview
The Field Marketing Specialist is responsible for supporting the execution and operations of Upwind’s global event programs. This role requires exceptional attention to detail, organization, and follow-through. The ideal candidate is resourceful, highly accountable, and thrives in a fast-paced environment managing multiple logistics streams at once.
Key Responsibilities
Event Execution & Coordination
- Coordinate logistics for trade shows, partner activations, and Upwind-hosted events.
- Help develop and drive marketing event project plans from inception to completion.
- Manage vendor communication, shipping logistics, swag fulfillment, and travel coordination.
- Maintain the events calendar and ensure all deliverables and deadlines are clearly tracked.
- Collaborate with internal teams to align on branding, creative assets, and production needs.
- Serve as the day-to-day contact for venues, production vendors, and shipping partners.
Inventory & Storage Management
- Manage and track Upwind’s event inventory, signage, and branded merchandise.
- Manage and maintain swag inventory and event materials housed in a local storage unit
- Oversee packing, shipping, and returns for all materials before and after events.
- Keep detailed, organized records of all inventory and restock levels.
Onsite Support
- Serve as the onsite logistics lead for select events, managing setup, troubleshooting, and teardown.
- When not onsite, provide detailed handoff documentation and shipping instructions to ensure smooth execution.
Budget & Operations
- Process invoices, manage POs, and reconcile event costs with Finance.
- Track spend and proactively flag discrepancies or overages.
- Maintain organized documentation for all event-related expenses, shipments, and materials.
Post-Event Coordination & Reporting
- Take ownership of lead capture, event attendance and follow-up coordination with Sales.
- Track and report on registration numbers and other metrics.
- Collect feedback from partners and attendees and compile post-event summaries.
Requirements
- 3+ years of experience in the events or hospitality industry
- Exceptional organization and project management skills.
- Highly proficient in Google Workspace (Sheets, Docs, Slides).
- Excellent written and verbal communication abilities; detail-oriented and dependable.
- Experience coordinating with vendors, managing shipping logistics, and tracking budgets.
- Self-motivated, accountable, and comfortable working independently in a fast-paced environment.
- Willingness to travel for events as needed.
- Ability to lift, carry, and move boxes or event materials (up to 40 lbs) as part of shipping, setup, and teardown duties.
