About the Role:
The Executive Briefing & Guest Relations Coordinator will report to the Senior Director, Executive Programs and Engagement.
As a Coordinator you will partner closely with Executive Briefing Program Managers, Sales and the office of the CTO to host in person executive briefings. You will be responsible for managing planning processes, timelines, guest relations, stakeholder communications & enablement, executive engagement, and participating in the successful execution of briefings in our new Executive Briefing Center located in Sunnyvale, CA.
The ideal candidate will be detail oriented, fanatical about the customer experience and have an aptitude for building partnerships, project management, and a commitment to excellence. The candidate must be able to communicate effectively with executive stakeholders, and deliver on both strategic and tactical program initiatives.
This is a full time contractor role, 40 hours per week, for 6-12 months with possible extension. You will work onsite with some remote capabilities based on center workload.
What You'll Do:
Welcome and care for our customers every need in-person at the Sunnyvale Executive Briefing Center
Support Briefing Program Managers with briefing logistics, catering, gifting, personalization and setup
Work with briefing team and account managers from initial briefing requests to source discussion leaders and schedule prep calls; and liaison with briefing managers and customers to create personalized guest experiences
Work with CTO Office leads, senior leadership, sales, marketing, and other areas of the company to create, plan and execute briefings
Become the subject matter expert for the briefing management system up to date with calendars, schedules, agendas, speaker bios and more.
Review and manage timely internal and external communications from multiple inboxes, and slack channels
Consult with account managers on successful briefing execution
Build and maintain relationships with product managers, executives and executive admins regarding processes and procedures necessary to execute successful briefings
Conduct follow-up on each briefing, identifying post-briefing opportunities and action items
Create and revise processes and procedures in support of the program’s overall objectives
Work with third party vendors like catering, transportation, venues, hotels etc. to ensure a superior guest experience
Manage special projects as assigned
What You'll Need:
3-5+ years event or customer marketing or hospitality or service experience; with project management experience.
Advanced knowledge and/or experience in sales and partner management
Advanced written/oral communications and analytical and negotiation skills
Advanced ability to interface effectively with multiple levels of management
Advanced influencing and consensus-building skills
Frequent senior management, partner and/or customer interface; frequent cross-functional/cross-organizational interaction on execution of tactics
Experience managing multiple competing priorities simultaneously, with the ability to perform well in a highly dynamic, and rapidly changing environment.
Exhibit ability to stay calm under pressure; resilient to set-backs
Experience assembling executive level presentations
