About the Role

As the Executive Assistant & Office Manager, you will play a key role in supporting the C-suite and ensuring the smooth operation of our new San Francisco office. This position requires a proactive, highly organized, and resourceful professional who can manage executive priorities while creating an efficient and engaging workplace environment.

This is an in-office role at our San Francisco office.

You Will:

  • Provide executive support to the C-suite, including managing complex calendars, coordinating meetings, preparing reports, and handling travel logistics.
  • Manage communication by acting as a liaison for executives, drafting emails, reviewing correspondence, and ensuring clear and professional messaging.
  • Oversee office operations to maintain a well-organized, fully stocked, and high-functioning workspace.
  • Plan & execute events including company meetings, leadership offsites, and employee engagement initiatives.
  • Manage vendor relationships, office leases, and workspace logistics.
  • Oversee facilities management, including contracts, budget, compliance, and infrastructure to optimize operations and enhance employee experience.
  • Handle expense & budget management including tracking office expenses, processing invoices, and managing executive expense reports.
  • Improve processes & efficiencies by identifying opportunities to streamline workflows and optimize productivity.
  • Ensure confidentiality & professionalism in handling sensitive information and executive communications.
  • Enhance company culture by fostering a positive office environment and supporting employee engagement initiatives.
  • Take on additional projects & responsibilities as business needs evolve, demonstrating flexibility and adaptability.

You Have:

  • Experience: 5+ years of experience supporting C-suite executives and managing an office in a fast-paced startup environment.
  • Technical Proficiency: Strong working knowledge of Google Workspace (Gmail, Calendar, Docs, Sheets, Slides), Slack, and office management tools.
  • Exceptional Organizational Skills: Ability to manage multiple priorities, deadlines, and stakeholders with efficiency and accuracy.
  • Strong Communication Abilities: Excellent verbal and written communication skills, ensuring clear and professional interactions.
  • Adaptability & Problem-Solving: Ability to pivot quickly and address challenges in a fast-moving environment.
  • Office & Vendor Management Expertise: Experience in overseeing office spaces, managing vendor relationships, and handling logistical coordination.
  • Budget & Expense Management: Skilled at tracking expenses, processing invoices, and optimizing cost efficiency.
  • Strategic Thinking & Execution: Ability to anticipate needs, drive efficiency, and implement structured plans for operational success.

Compensation, Benefits & Life at Future:

  • Salary range: $95,000 - $108,000 / year + equity. The salary range is set based on multiple considerations including business needs, market demands, talent availability, experience, and unique skills and attributes. The base pay range is subject to change and may be modified in the future.
