The Opportunity: 

Culture Biosciences is looking for an Executive Assistant / Office Manager. This role will provide administrative support to the CEO, Executive Leadership Team, HR and Finance while also overseeing office administrative support. This position will report to the Human Resources Director and is required to be in office 5 days a week, located in South San Francisco, CA.

What you'll do:

  • Manage travel arrangements and calendars for the Executive Leadership Team, HR and Finance ensuring efficient scheduling and coordination of meetings.
  • Act as a primary point of contact, liaising confidently with internal and external stakeholders.
  • Oversee office administration, including, and facility coordination at two locations. Maintain office supplies inventory and place orders as needed.
  • Ensure the office is clean, organized, and well-maintained.
  • Handle administrative tasks such as document preparation, filing, and scanning, calendaring, travel & expenses.
  • Assist with event planning and coordination for team meetings, all-hands meetings, events, and offsites. 
  • Support the preparation of presentations, reports, and other materials for executive-level meetings including support needed for Board of Directors meetings.
  • Support onboarding and office integration for new hires, ensuring a seamless transition.
  • Handle expense & budget management including tracking office expenses, processing invoices, and managing executive expense reports.
  • Various Accounting duties as assigned. 

About you:

  • Bachelor’s degree preferred.
  • 3-5 years of Executive Assistant and Office Management experience, preferably within a start-up and fast-paced growing environment.
  • Advanced proficiency in Microsoft Office (Word, PowerPoint, Outlook, and Excel) and Google Suite.
  • Strong organizational skills and keen attention to detail.
  • Excellent verbal and written communication skills with the ability to interact at all levels.
  • Ability to handle sensitive and confidential information with discretion.
  • Independent problem-solver with strong prioritization and time-management skills.
  • Ability to adapt to change and manage multiple projects simultaneously.
  • Prior experience with event coordination and office operations preferred.

Location & Schedule: 

  • This is an onsite position. We’re looking for someone based in the San Francisco Bay Area who is able to work in person at our office in South San Francisco full time, 5 days per week. 

Base Salary Range:

Culture Biosciences's compensation package includes market competitive salary, equity for all full time roles, and great benefits. Our expected salary range for this role is $90,000 to $110,000. We are hiring for multiple levels and backgrounds so final offers may vary within the range provided based on experience, expertise, and other factors.
