The Executive Assistant will manage schedules, maintain SOPs, coordinate with marketing, oversee administrative tasks, and ensure operations run efficiently.

Our client is looking for an Executive Assistant to support their day-to-day operations and ensure their internal processes run smoothly and efficiently. They operate within the fitness and performance coaching space and have experienced steady growth in recent years through structured programs and a strong focus on client results.
This role is ideal for someone highly organized, proactive, and detail-oriented who enjoys keeping things on track, managing priorities, and supporting a fast-paced, execution-driven environment.
- Manage and organize schedules, ensuring all tasks and projects are properly tracked and completed on time
- Maintain, update, and follow Standard Operating Procedures (SOPs) for daily operations
- Coordinate closely with the marketing team, ensuring smooth communication and execution
- Gather and send assets (photos, videos, and other materials) to support marketing initiatives
- Oversee administrative workflows and ensure operational consistency
- Monitor ongoing projects and follow up to ensure deadlines are met
- Handle general administrative tasks as needed to support the business
Requirements
- Proven experience as an Executive Assistant, Virtual Assistant, or similar administrative role
- Strong organizational and time management skills
- Ability to manage multiple priorities without losing attention to detail
- Excellent communication skills, both written and verbal
- Comfortable working in a fast-paced, structured environment
- High level of accountability and follow-through
- Experience supporting entrepreneurs, coaches, or small business owners is a plus
- Familiarity with SOP management and workflow organization
- Strong sense of discipline and punctuality
- Interest or background in fitness, health, or performance is a plus
