Role OverviewWe are seeking a highly organized, proactive, and resourceful Executive Assistant to support our C-level leadership. This role is critical to the day-to-day effectiveness of our leadership team. You will act as a trusted partner, managing priorities, anticipating needs, and ensuring seamless operations across scheduling, communications, and executive initiatives.
What You’ll Get To Do
- Manage complex and dynamic calendar scheduling across multiple time zones, prioritizing meetings and resolving conflicts
- Coordinate domestic and international travel, including itineraries, scheduling details, and expense reconciliation
- Serve as a gatekeeper for the C-level leadership’s time, ensuring focus on highest-impact priorities
- Support meeting preparation, including agendas, materials, note-taking, and follow-ups on action items
- Draft and manage communications on behalf of the C-level leadership, including emails and internal updates
- Partner cross-functionally with leadership and other stakeholders to drive alignment and execution
- Plan and coordinate executive meetings, events, and offsites
- Maintain confidential files, documents, and records with a high level of discretion
- Anticipate needs, solve problems proactively, and improve administrative processes for efficiency
- Support special projects and initiatives as needed
What You Have
- 5+ years of experience supporting senior executives, ideally at the C-suite level
- Strong organizational skills with exceptional attention to detail
- Ability to manage competing priorities in a fast-paced environment
- High level of professionalism, judgment, and discretion with confidential information
- Excellent written and verbal communication skills
- Advanced proficiency in Google Workspace and/or Microsoft Office tools
- Ability to work onsite in Irvine, CA, five days per week
