From site selection to data center construction and operations, Stream develops wholesale colocation capacity and build-to-suit facilities for hyperscale and enterprise users in major markets across the United States. Additionally, Stream sources and develops low-risk land sites for optimum data center development and provides energy procurement services with a focus on reducing market risk and providing low-cost renewable energy options. 

POSITION OVERVIEW
We are currently seeking an Executive Assistant to the Chief Operating Officer to provide high-level administrative and operational support to ensure the COO’s organization runs efficiently and effectively. This role serves as an organizational force multiplier, anticipating needs, managing priorities, and enabling the COO to focus on enterprise execution and strategic decision-making.

The EA will work in close partnership with the Chief of Staff (CoS) to align priorities, streamline information flow, and coordinate activities across the executive team, ensuring consistency and follow-through on operational and strategic initiatives.

This position is for one of the following markets: Phoenix, Chicago, Dallas, Denver

RESPONSIBILITIES

1. Executive & Administrative Support

  • Manage the COO’s complex calendar, scheduling and prioritizing meetings and events while balancing competing demands across the executive team.
  • Oversee executive inbox management: triage and prioritize emails, flag key actions, draft and edit responses, and manage approvals for timely decision-making.
  • Prepare the COO for meetings by developing briefing documents, agendas, background research, and pre-read materials to ensure readiness for informed decision-making.
  • Coordinate domestic and international travel arrangements via Concur or TSI Travel, ensuring itineraries, logistics, and expense reports are accurate and timely.
  • Manage expenses and expense reports, including timely approval of direct reports’ submissions.
  • Draft, proof, and edit executive communications, presentations, and briefing materials to support board, leadership, and client-facing engagements.
  • Handle confidential and sensitive information with discretion and professionalism.

2. Executive Office Coordination & Collaboration

  • Partner closely with the Chief of Staff to ensure alignment of priorities, communications, and workflows across the COO’s organization.
  • Act as a gatekeeper and liaison, facilitating effective communication between the COO, senior leaders, and staff while maintaining awareness of organizational dynamics.
  • Collaborate with other Executive Assistants to synchronize executive calendars, align operating rhythms, and support enterprise-level coordination.
  • Partner with leadership to track strategic initiatives, ensuring progress and alignment with organizational goals.
  • Support the COO’s direct reports by assisting with meeting logistics, HR notices, learning initiatives, and key reminders.
  • Anticipate challenges, identify opportunities, and recommend solutions to streamline processes and improve efficiency.

3. Meeting, Event & Offsite Management

  • Lead the planning and execution of team meetings, offsites, client engagements, and executive events.
  • Manage meeting logistics end-to-end, including agenda preparation, material distribution, audiovisual setup, and follow-up on action items.
  • Coordinate hospitality and logistics for client meetings, audits, and executive visits—including catering, refreshments, and room readiness.
  • Support the Chief of Staff and COO in executing leadership offsites, town halls, and quarterly business reviews.
  • Track event budgets, reconcile expenses, and prepare post-event reports with lessons learned and improvement recommendations.

4. Operations & Site Support

  • Assist Data Center Operations teams with administrative and logistical needs such as supply ordering, inventory management, and maintaining stocked office spaces.
  • Ensure office environments and client-facing spaces are well-maintained, professional, and welcoming.
  • Support health, safety, and facilities compliance in coordination with Site Operations.
  • Help onboard new hires within the COO’s organization (scheduling introductions, coordinating logistics, ensuring smooth setup).
  • Coordinate employee recognition, engagement, and team-building activities, acting as a culture ambassador across the COO’s organization.
  • Work closely with HR and Compliance to ensure required postings, notices, and training communications are up to date.

5. Relationship Management & Professionalism

  • Represent the COO’s office with professionalism, tact, and discretion when engaging with internal and external stakeholders.
  • Build trusted relationships across the executive leadership team and with external partners, fostering collaboration and consistent communication.
  • Support the Chief of Staff and COO in reinforcing the company’s culture, values, and strategic priorities through communications and engagement activities.

MINIMUM QUALIFICATIONS

  • Minimum of 5 years’ experience as an EA or in a similar administrative role.
  • High School Diploma or equivalent required
  • Experience managing calendars, travel arrangements, and expense reporting
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Exceptional organizational skills with a superior ability to manage multiple priorities, strong time management, meticulous attention to detail, and a highly organized approach to tasks and information.
  • Excellent written and verbal communication skills
  • Ability to multitask and prioritize daily workload.
  • High level of discretion and confidentiality.

  • Strong emotional intelligence
  • Strong event management skills

PREFERRED QUALIFICATIONS

  • Bachelor's degree or equivalent  
  • Experience with HubSpot, Ramp, Acrobat Pro and a document management program, a plus 
  • Self-motivated with a proactive approach to tasks and problem-solving 
  • HIGHLY PREFERRED local to Phoenix/Scottsdale Area 
  • Demonstrated ability to take accurate and comprehensive meeting notes and minutes. 
  • Strong project coordination skills, with experience managing timelines and deliverables. 
  • Experience in a growth-stage company or a similar fast-paced, evolving environment preferred 

The base range is $115,000 - $140,000. Individual compensation packages are based on various factors unique to each candidate, including skill set, experience, qualifications, location, and other job-related reasons. Stream Data Centers offers annual bonus, benefits, flexible time off (vacation), 401k and a variety of other perks and benefits.
