We’re seeking a polished, proactive, and resourceful Executive Assistant to support executive leadership at a fast-paced creative studio. This is more than calendar management - this person will proactively handle high-level coordination, critical thinking, and polished execution, while helping drive operational excellence behind the scenes.

This position is on-site at Sawhorse Productions Offices in LA Monday-Friday 9:00 am - 7:00pm (with an hour lunch break)

Requirements
  • Executive Support: Manage complex calendars, schedule appointments, prepare briefing notes, and anticipate executive needs.
  • Stakeholder Coordination: Be the central liaison, organize internal and external meetings, coordinate cross-department collaboration, and follow up on action items promptly.
  • Project Ownership: Own and execute special projects end-to-end, research, planning, vendor coordination, expense tracking, and stakeholder communication.
  • Communication Excellence: Draft polished emails, meeting materials, and executive-level communications with impeccable attention to tone and detail.
  • Travel & Event Management: Plan and book multi-leg travel itineraries, corporate off-sites, and events - ensuring flawless logistics and execution.
  • Systems Management: Optimize processes using Google Workspace, Slack, Airtable, and other internal tools. Create playbooks and run streamlined workflows to boost team efficiency.
  • Crisis Management: Stay agile, anticipate issues before they arise, and solve problems proactively under pressure with confidentiality and composure.
Qualifications

A strong candidate for this position should have the following qualities:

  • Experience: 2+ years experience in executive support,  operations, or similar roles within creative or production environments, demonstrated ability to manage elevation level tasks.
  • Proactive Thinker: Comfortable independently taking initiative and anticipating needs two steps ahead.
  • Organizational Excellence: Highly detail-oriented; strong ability to manage multiple priorities and shifting timelines.
  • Technical Fluency: Expert-level in Google Workspace, Slack, Zoom, calendars, and confidence using Airtable, docs, spreadsheets, and communication platforms.
  • Communication Skills: Exceptional verbal and written communications, drafts and materials should feel polished, confident, and ready for executive review.
  • Emotional Intelligence: Able to engage professionally with internal teams, external partners, and clients, maintaining a calm, poised, and relationship-driven presence.
  • Career Mindset: Eager to learn, grow, and take on more responsibility; very comfortable in a startup-style environment.
Nice To Have's
  • Familiarity with Slack integrations, scheduling tools (e.g., Calendly), and workflow systems
  • Strong aptitude for low-code tools and process documentation
  • Initiative to drive efficiency through system improvements
