Job Description

Fabletics is currently looking for an Executive Assistant for the COO.

How Do You Fit In?

The Executive Assistant will support the Chief Operating Officer, and will play a key role in driving success for the Office of the COO. This position will be responsible for performing an array of administrative duties requiring confidentiality, initiative and sound decision making on behalf of the COO. The right candidate will provide exceptional executive administrative support by means of seamless calendar management, strong and proactive communication, well-written external correspondence, and performance of clerical functions such as scheduling meetings and conference calls, preparing expense reports, and making travel arrangements – all with minimal supervision. The successful candidate will be highly motivated, well organized and detail-oriented, and will bring a proactive, results-driven approach to everyday tasks as well as problem solving.

Additionally, the candidate must have the innate ability to interact with leaders throughout the company, always with a high level of trustworthiness, poise, and professionalism. The candidate must be able to maintain calm under pressure and thrive in a fast-paced, high growth environment, remaining flexible, proactive, resourceful and efficient. They should demonstrate expertise in developing effective relationships across a highly matrixed organization. 

What you will do:

  • Take a proactive approach to all responsibilities, anticipating needs and independently facilitating solutions through high quality, detail-oriented work that is a strong representation of the brand and the executive office.
  • Complete a wide variety of administrative tasks including managing COO and department calendars, prioritizing most important items and resolving all conflicts in a timely manner.
  • Own communication and coordinate planning with external stakeholders in a timely and professional manner, while demonstrating the highest level of customer/client service.
  • Successfully complete critical aspects of deliverables with an independent, hands-on approach.
  • Independently conceive and plan logistics for off-site meetings and retreats, and provide planning assistance for external and company-wide events as necessary.
  • Arrange complex and detailed travel including domestic and international travel, itineraries, and agendas.
  • Maintain contact/distribution lists and other needs to help the organization function effectively.
  • Assist with limited personal needs and travel.
  • Approach various ad-hoc assignments and tasks with enthusiasm.
  • Support other executive's calendars on an as needed basis

What you can bring:

  • Bachelor's degree required.
  • Minimum of 5 years of experience as an executive assistant.
  • Superior skills in Outlook; additional expertise in other Microsoft 365 suite applications preferred.
  • Proven ability to handle confidential information with discretion and trustworthiness.
  • Eagerness to learn and grow in the executive administration track to contribute increasingly more as the role is mastered.
  • Confident communicator who brings excellent written and oral communication skills and strong follow-up.
  • Highly organized, with strong attention to detail.
  • Enthusiastic team player with the flexibility to re-prioritize, multi-task and switch tasks fluidly.
  • Demonstrated ability to work independently and meet deadlines in a fast-paced environment.
  • Ability to plan ahead and anticipate challenges.
  • Highly accountable and able to drive accountability in others.
  • High emotional intelligence and diplomacy.
  • Resourceful and solutions-oriented mindset.

The annual base salary range for this position is from $75,600-$100,000. The range provided includes the base salary that Fabletics expects to pay for the role. Offered base salary will be dependent on factors including the scope and complexity of the role, candidate’s related work experience, subject matter expertise and work location.
