The Executive Assistant serves as a trusted partner to senior leadership, providing high-level administrative and organizational support in a fast-paced, dynamic environment. This role is responsible for managing complex calendars, coordinating meetings, travel arrangements, communications, presentations, and other executive priorities while exercising the highest level of professionalism, confidentiality, integrity, and sound judgment. Beyond administrative responsibilities, success in this role is built on strong relationships, proactive problem-solving, and the ability to anticipate needs, prioritize competing demands, and navigate across multiple teams and stakeholders. As a key representative of the executive, the Executive Assistant must demonstrate exceptional interpersonal skills, diplomacy, resourcefulness, and flexibility while collaborating with partners throughout The Walt Disney Company and serving as a trusted liaison both internally and externally. Understanding the executive's business priorities, key constituents, and broader organizational landscape is essential to providing strategic support and helping drive overall effectiveness and success.

You will report to the Portfolio Executive Creative Producer.

This is a Full- Time role.

What You Will Do:
  • Provide administrative support, including managing complex calendars, coordinating meetings, processing invoices and expenses, screening communications, and ensuring timely follow-through on key priorities and action items.

  • Manage complex scheduling across multiple stakeholders, proactively prioritizing competing demands while anticipating conflicts and identifying solutions that maximize executive effectiveness.

  • Coordinate and support executive meetings, presentations, and video conferences, including preparation of materials, technology setup, and logistics for both in-person and virtual engagements.

  • Plan and execute domestic and international business travel, including detailed itineraries, meeting coordination, transportation, and real-time support, while proactively addressing changes in schedules, travel conditions, and time zones.

  • Serve as a key liaison to senior leaders, executive support teams, and external partners, building strong relationships and ensuring seamless communication across the organization.

  • Strategically manage executive calendars by balancing business priorities, meeting preparation, travel requirements, and dedicated time for planning, focus, and decision-making

  • Exercise sound judgment in managing executive communications, determining priorities, and directing inquiries with professionalism, discretion, and efficiency.

  • Adapt quickly to changing priorities and emerging business needs, maintaining composure and ensuring continuity in a fast-paced, dynamic environment

  • Handle highly confidential and sensitive information with the utmost integrity, discretion, and professionalism.

  • Draft and prepare executive correspondence, presentations, reports, and other business-related materials on behalf of leadership.

  • Support office operations through vendor coordination, supply management, purchase orders, invoice processing, and related administrative functions.

  • Plan and coordinate team meetings, off-sites, cultural and team-building events, and leadership gatherings, ensuring seamless execution while supporting a strong team culture and positive participant experience.

  • Partner on special projects, initiatives, and other business priorities, providing proactive support and contributing to the overall effectiveness of the organization.

Required Qualifications & Skills:
  • 7+ years of experience supporting senior-level executives in a fast-paced, highly complex, project-driven environment within the entertainment industry.

  • Extensive experience supporting senior-level executives in a fast-paced, highly complex environment, with the ability to manage competing priorities, adapt quickly, and execute with a high degree of professionalism and discretion.

  • Exceptional organizational and planning skills, including the ability to anticipate needs, prioritize effectively, meet deadlines, and proactively solve problems with minimal direction.

  • Strong verbal, written, and interpersonal communication skills, with the confidence and business acumen to interact professionally with senior leaders, partners, and stakeholders across the organization.

  • Proven ability to build and maintain strong relationships across teams and functions, leveraging partnerships to drive efficiency, resolve issues, and achieve positive outcomes.

  • Demonstrated ability to handle highly confidential and sensitive information with sound judgment, integrity, and complete reliability.

  • Positive, service-oriented team player with a proactive mindset, strong attention to detail, and a willingness to go above and beyond to support leaders and colleagues.

  • Calm, resourceful, and adaptable under pressure, with the ability to manage unexpected challenges while maintaining professionalism and composure.

  • Advanced proficiency with Microsoft 365, SAP, Concur, collaboration technologies, video conferencing platforms, and both Mac and Windows environments, with the ability to quickly learn new systems and tools.

  • Strong presentation and executive support skills, including experience preparing executive-level presentations, correspondence, and business materials.

  • Deep curiosity and desire to learn the executive's business, priorities, key stakeholders, and organizational landscape to provide strategic, proactive support.

Preferred Qualifications:
  • Experience working at The Walt Disney Company or within a large, complex public corporation

  • Experience supporting leaders within Walt Disney Imagineering or a similarly creative, project-driven environment

  • Experience utilizing video teleconferencing (VTC) technologies and collaboration platforms such as Zoom and Slack

  • Proficiency in presentation development tools, including PowerPoint, Keynote, and Adobe Creative Suite

Education:
  • High school diploma 

Preferred Education:
  • Bachelor’s degree or equivalent

The hiring range for this position in Glendale, CA is $65,300 to $87,500 per year based on a 40-hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
