The Executive Assistant will provide a full range of administrative support for President of Screen Gems including handling phones, calendar, filing, drafting correspondence, meeting coordination, travel arrangements, scheduling. Additionally, familiarity with the industry, agents, managers, filmmakers is key – as is putting together various lists (writer, director, producer lists) and working creative notes. Must be willing to read screenplays and other forms of submissions.  

Responsibilities

  • Word processing (composing and generating letters, memos and fax cover sheets)

  • Handle day-to-day phone calls including rolling high volume calls with President, redirecting calls to appropriate departments and relaying timely messages

  • Scheduling travel for executive as well as for any of executive's projects (producers, writers, actors, directors)

  • Distributing and following-up on documents and submissions

  • Liaise w/ executives & assistants within Sony, as well as other production companies, studios, agencies, law firms, management companies

  • Updating databases and lists

  • Scheduling and preparing for meetings and handling heavy calendar

  • Extensive reading

  • Track external projects/talent schedules, and availability of writers/directors/actors

  • Processing expense reports

  • Process reimbursement expenses for project participants (Producers, Writers, Directors, Actors)

  • Responsible for processing/handle sensitive intellectual property

  • Managing document flow, including creating and maintaining files (electronic and hard copy)

  • Other general administrative duties (processing mail, copying, helping maintain the office, etc.)

  • Organize and manage script library and database to store submissions for projects and information about filmmakers

  • Prepare various presentations on PowerPoint

  • Miscellaneous duties as required

Qualifications

  • 2+ years experience as an administrative assistant, experience in creative development and or production preferred

  • Strong computer skills (Microsoft Word, Excel, Outlook and PowerPoint)

  • Experience with Adobe Acrobat, PIX, and other entertainment software programs preferred

  • Knowledge of Filmmakers, Screenwriters, Literary Authors, and Representatives

  • Exceptional organizational and interpersonal skills

  • Must be detail-oriented

  • Must be able to multi-task and prioritize to ensure that all assignments are completed in an accurate and timely manner

  • Must be able to meet deadlines

  • Must be flexible – an ability to work well in an environment where needs and priorities are subject to constant change

  • Common sense, dependability, and attention to detail are required 

  • Must be a self-starter with a team-player attitude

  • Excellent communication skills – written and oral (must have a professional and courteous demeanor)

  • Discretion is a must

The anticipated base salary for this position is $38.37/hour to $48.03/hour. This role may also qualify for incentives and/or comprehensive benefits. The actual base salary offered will depend on a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location of the position.
