Skydance Animation is looking for an experienced Executive Assistant who will be responsible for providing administrative support to two SVPs. This position requires strong organizational and time management skills, an aptitude to anticipate executive needs, as well as the ability to professionally interface with all internal departments and external partners. The ideal candidate has administrative experience with a passion for the animation industry.

Responsibilities

  • Provide administrative assistance to the Senior Vice President of Human Resources and the Senior Vice President of Talent Acquisition & Development
  • Manage Executives calendars including scheduling, coordinating, and arranging meetings and appointments with internal and external contacts
  • Arrange physical and/or virtual conference details, issue meeting requests and invitations, coordinate agendas and materials as necessary
  • Maintain consistent awareness of Executives priorities and strategically arrange/plan/rearrange days accordingly
  • Coordinate detailed travel including overnight and international accommodations, scheduling of events, creating travel itineraries, and distribution of information to travelers
  • Prepare and submit monthly expense reconciliation reports for teams
  • Prep first day start paperwork for new employees
  • Assist with filing, preparation and distribution of reports and documentation
  • Maintain reports and tracking grids
  • Act as a first point of contact for employees with inquiries for Human Resources and Talent Acquisition; customer service approach
  • Attend and note-take in meetings, distribution as appropriate
  • Other ad hoc duties as assigned

Requirements

  • 5+ years of administrative experience; agency or management experience a plus
  • Strong proficiency in MS Office & Google Suite
  • Excellent written, verbal, and interpersonal skills with the ability to interface with staff, other administrators, and internal and external senior management
  • Organized and detail-oriented with the ability to manage multiple high priorities, meet deadlines for tasks and assignments, proactively anticipate needs, and manage time efficiently
  • Excellent problem-solving skills, attention to detail and follow-through
  • Resourceful, proactive, reliable, and assertive when necessary
  • High level of integrity and discretion with confidential information and sensitive issues and information
  • Familiar with a variety of entertainment industry concepts, practices, and procedures a plus
  • Knowledge of creative, production, post-production processes, and related workflows a plus

The compensation range for this non-exempt position in Los Angeles, CA is $70,000-90,000 annually. The rate offered may vary based on the candidate’s location, qualifications, experience and relevant expertise, among other factors.  The range indicated is for base salary only and does not reflect the total compensation package, including bonus, benefits, etc.
