Take the Lead as an Executive Assistant with Veta Virtual! 🚀

Are you a master of organization, a sharp communicator, and someone who thrives behind the scenes making leaders unstoppable? Veta Virtual is hiring a Remote Executive Assistant for one of our fast-growing clients. This role is ideal for a resourceful, proactive professional who wants to be the strategic right hand to senior leadership — managing everything from complex calendars to high-stakes communications — all from the comfort of a remote setup.

To apply, you’ll only need to fill out a short form on our website — less than 5 minutes.

🔑 Your Role:

As a Remote Executive Assistant, you'll work directly embedded in our client's leadership team, ensuring executives can operate at their highest level by taking ownership of the day-to-day moving pieces. You'll be the connective tissue between priorities, people, and projects. Your day-to-day work will involve:

  • Managing complex executive calendars — scheduling, prioritizing, and protecting time across multiple time zones with precision and foresight.
  • Serving as the primary point of contact for internal teams, clients, and external partners, ensuring clear and timely communication on behalf of leadership.
  • Drafting, reviewing, and managing high-level correspondence — emails, memos, meeting agendas, briefing documents, and executive summaries.
  • Coordinating end-to-end domestic and international travel logistics, including itineraries, accommodations, and expense reporting.
  • Preparing presentations, reports, and supporting materials for key meetings, board sessions, and stakeholder communications.
  • Tracking action items, project deadlines, and follow-ups to ensure nothing falls through the cracks and leadership priorities stay on course.
  • Handling sensitive and confidential information with the utmost discretion, professionalism, and integrity at all times.
  • Identifying opportunities to streamline workflows, implement tools, and improve operational efficiency within the executive office.

✅ What You'll Need:

  • 3+ years of experience as an Executive Assistant, Personal Assistant, or Chief of Staff supporting C-suite or senior-level executives, preferably in a remote environment.
  • Advanced English fluency — both written and spoken — with exceptional grammar, professional tone, and the ability to represent leadership in all communications.
  • Strong command of productivity and collaboration tools such as Google Workspace (Gmail, Calendar, Docs, Drive), Microsoft Office Suite, Zoom, and Slack.
  • Proven ability to manage complex, shifting calendars and competing priorities across multiple time zones without missing a beat.
  • Exceptional attention to detail and organizational skills — you catch what others miss and stay five steps ahead.
  • High emotional intelligence and discretion when handling confidential information, sensitive situations, and executive-level relationships.
  • Strong written communication skills — able to draft polished correspondence, summarize information clearly, and tailor tone to different audiences.
  • Experience coordinating travel logistics, expense management, and vendor or third-party communications.
  • Bonus: familiarity with project management tools such as Asana, ClickUp, Notion, or Monday.com.
  • A proactive, self-directed professional with a high ownership mindset, strong follow-through, and the ability to thrive independently in a remote setup.
  • Awareness of how AI tools (ChatGPT, Notion AI, etc.) can enhance executive support workflows is a strong plus.
  • You need to be located in LATAM or EUROPE.

💼 What We Offer:

  • 💸 Competitive salary in USD/month (based on experience).
  • 🌴 +10 paid vacation days per year, plus all U.S. national holidays.
  • 💻 Fully remote role — work from anywhere in the world with a professional home setup.
  • 📈 A dynamic environment with real opportunities to grow, take on more responsibility, and make a visible impact at the leadership level.
  • 🤝 A supportive, collaborative culture through Veta Virtual and our client — where your contributions are seen and valued.

What you need to know about the Los Angeles Tech Scene

Los Angeles is a global leader in entertainment, so it’s no surprise that many of the biggest players in streaming, digital media and game development call the city home. But the city boasts plenty of non-entertainment innovation as well, with tech companies spanning verticals like AI, fintech, e-commerce and biotech. With major universities like Caltech, UCLA, USC and the nearby UC Irvine, the city has a steady supply of top-flight tech and engineering talent — not counting the graduates flocking to Los Angeles from across the world to enjoy its beaches, culture and year-round temperate climate.

Key Facts About Los Angeles Tech

  • Number of Tech Workers: 375,800; 5.5% of overall workforce (2024 CompTIA survey)
  • Major Tech Employers: Snap, Netflix, SpaceX, Disney, Google
  • Key Industries: Artificial intelligence, adtech, media, software, game development
  • Funding Landscape: $11.6 billion in venture capital funding in 2024 (Pitchbook)
  • Notable Investors: Strong Ventures, Fifth Wall, Upfront Ventures, Mucker Capital, Kittyhawk Ventures
  • Research Centers and Universities: California Institute of Technology, UCLA, University of Southern California, UC Irvine, Pepperdine, California Institute for Immunology and Immunotherapy, Center for Quantum Science and Engineering
