    The Executive Assistant/Office Manager serves as a trusted partner to the President and a central hub for the Yonex USA office. This dual-function role blends high-level executive support with hands-on office operations, requiring a professional who thrives on anticipating needs, maintaining order, and enabling the organization to run smoothly and efficiently. The ideal candidate is resourceful, discreet, and energized by a fast-paced environment where no two days are the same.

Responsabilities

    Executive Support

    • Manage and maintain the President's complex calendar, including scheduling internal and external meetings, resolving conflicts, and ensuring preparedness for all engagements
    • Coordinate all domestic and international travel arrangements for the President, including flights, hotels, ground transportation, and itineraries
    • Prepare and edit correspondence, presentations, reports, and briefing materials on behalf of the President
    • Serve as a liaison between the President and internal departments, vendors, and external stakeholders — handling communications with professionalism and discretion
    • Assist with special projects, strategic initiatives, and follow-up on action items to ensure timely execution
    • Manage expense reporting and reconciliation for the President
    • Handle confidential information with the utmost integrity

      Office Management

      • Oversee the day-to-day operations of the office to ensure a productive, professional, and welcoming environment
      • Manage office supply inventory, procurement, and vendor relationships (facilities, equipment, etc.)
      • Serve as the primary point of contact for building management, maintenance, and service providers
      • Lead an office refresh initiative including space planning, furniture and equipment upgrades, and vendor coordination to modernize and improve the working environment
      • Coordinate onboarding logistics for new employees, including workspace setup, equipment provisioning, and office orientation
      • Coordinate company events in conjunction with the HR/Admin team – Town Halls, Company Events, Etc.
      • Plan and execute company meetings, internal events, and team activities from logistics through execution
      • Maintain and improve office procedures, filing systems, and administrative workflows
      • Greet and assist visitors, manage incoming calls, and handle general office inquiries
      • Support the Administration team with ad hoc projects as needed

Qualifications

    • 5–8 years of experience in an Executive Assistant, Office Manager, or combined administrative role
    • Demonstrated ability to support C-suite or senior leadership in a fast-paced environment
    • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); experience with project management or scheduling tools a plus
    • Exceptional organizational skills with a high degree of attention to detail and follow-through
    • Excellent written and verbal communication skills; polished and professional demeanor
    • Proven ability to manage competing priorities, pivot quickly, and maintain composure under pressure
    • High level of discretion and sound judgment when handling sensitive or confidential information
    • Proactive, self-motivated, and solutions-oriented — highly autonomous and self-directed; identifies what needs to be done and executes without being prompted — does not require constant assistance.
    • Experience supporting leadership in a Japan-headquartered or Asian multinational organization a plus — cultural fluency and communication
    • Passion for sports or the sporting goods industry is a bonus

Physical Demands and Work Environment

    • Prolonged periods of sitting at a computer workstation.

    • Ability to lift up to 25 pounds occasionally.
