Description of Work
The Executive Assistant I provides primary administrative support to leadership and staff within the Office of Rural Health, focusing on coordinating travel‑related activities and purchases for all program areas. The role manages multiple Outlook calendars and delivers general administrative support in a fast‑paced, high‑volume office environment.Work includes performing a wide range of administrative tasks with accuracy and professionalism while managing competing priorities. The position supports daily operations through consistent communication with internal and external partners and ensures efficient workflow across Office of Rural Health programs. The role contributes to effective program operations by executing well‑organized administrative processes and maintaining reliable administrative support.
Key Duties Include:
– Coordinate travel‑related activities and purchases for all Office of Rural Health programs and staff.
– Provide general administrative support across program areas to ensure effective daily operations.
– Manage multiple Outlook calendars to support leadership and program scheduling needs.
– Execute administrative tasks in a fast‑paced, high‑volume office while balancing competing priorities.
– Schedule meetings, send updates, track attendance, prepare minutes, and support boards and collaborative partners.
– Arrange logistics for travel and meals and prepare corresponding forms and documentation.
– Review and edit written materials for accuracy, clarity, grammar, punctuation, and proper formatting.
– Perform purchasing and reconciliation duties according to established office processes.
– Communicate professionally and accurately with internal and external partners, both orally and in writing.
– Compile, summarize, and tabulate data, including conducting queries and generating reports using Excel, Access, or similar tools.

Salary Grade Range: $45,431.00 - $79,504.00Recruitment Range: $45,431.00 - $51,428.00

- Demonstrated experience providing comprehensive administrative support to leadership, boards, and collaborative partners, including scheduling meetings, preparing minutes, coordinating travel logistics, and managing related documentation.
- Strong proficiency using Microsoft Office tools—specifically Outlook, Word, Excel, and PowerPoint—to manage calendars, develop documents, and support high‑volume office operations.
- Documented success performing office support practices in a fast‑paced environment, including reviewing and editing written materials for accuracy, formatting, grammar, punctuation, and sentence structure.
- Proven skill completing purchasing and reconciliation tasks using established office processes and procedures.
- Experience compiling, summarizing, and tabulating data, including conducting data queries and producing reports in Excel, Access, or similar software platforms.
The North Carolina Office of Rural Health (ORH) became the first State Office of Rural Health in the nation in 1973. The ORH was created to focus on the needs of rural and underserved communities and continues to empower communities and populations by developing strategies to improve quality and cost-effectiveness of health care for all. While ORH does not provide direct care, its programs support numerous health care safety net organizations throughout the state. Continued support and recurring funding for ORH strengthened North Carolina’s health care safety net infrastructure to ensure that all of the state’s medically vulnerable residents (Uninsured, Underinsured, Medicare and Medicaid) have access to affordable and appropriate high quality primary care. It is a conservative estimate that the State’s primary care safety net system serves 1.1 million vulnerable residents.

Bachelor's degree, preferably in business administration or a related discipline from an appropriately accredited institution
OR
Associate's degree in secretarial science, business administration, or a related discipline from an appropriately accredited institution and two years of progressively responsible administrative/office management experience
OR
High school or General Educational Development (GED) diploma and four years of progressively responsible administrative/office management experience
OR
An equivalent combination of education and experience.
