About the Role - Executive Assistant & Events Lead

Peak Energy is looking for an Executive Assistant & Events Lead. This is a dual-scope role: traditional executive assistant support for our C-suite, plus end-to-end ownership of every event Peak runs - internal and external. 

On the executive support side, you'll provide full coverage for two of our C-suite executives and split coverage across the rest of the executive team. Scheduling and travel are highly collaborative here, and we're looking for a strong career EA that wants to take on additional scope in leading Events for us.  

On the events side, you own the function. Every event Peak runs -offsites, factory milestones, culture events, board meetings, investor days, customer summits, factory tours, industry conferences - is yours to plan and execute. As Peak grows through Series B and the Sacramento factory launch, the events function will scale meaningfully. You'll build the playbook and own the execution. 

This role reports into our CEO and leads the execution of Peak's executive support and events functions. 

 

What You'll Do 

Executive Assistant:  

  • Provide full executive support to two of our C-suite executives, and split coverage across the rest of the executive team. 
  • Own complex calendar management across competing priorities and time zones. Partner closely with each executive on how they want their time structured; proactively manage executive priorities, identifying opportunities to improve focus, efficiency, and operating cadence. 
  • Own travel booking and travel management for our executives across the company. Expect roughly two international trips per executive per quarter, plus regular domestic travel. Serve as the primary owner of executive travel planning and logistics across the company. 
  • Prepare executives for meetings, board sessions, and customer/investor calls with agenda coordination, pre-reads, and follow-up tracking as needed. 
  • Coordinate closely with the CEO on priorities and calendar strategy. 
  • Support board meeting logistics: coordinating with investors, running pre-meeting prep, materials distribution, and on-site logistics. 
  • Support executive-owned program reviews, business reviews, and cross-functional exec meetings as a strong set of hands. 
  • Handle expenses, travel reconciliation, and executive administrative logistics. 
  • Handle confidential and sensitive information with absolute discretion. 

Events Lead: 

  • Own and lead every event Peak runs, internal and external, end-to-end - planning, budget, vendor management, run-of-show, on-site execution, and post-event debrief. 
  • Internal events you'll own: company all-hands, team offsites, factory milestone events (topping-off, ribbon-cutting, first-off-line), holiday and culture events, and Sacramento site launches. 
  • Closely collaborate with our marketing team on external events, including: investor days, announcement moments, customer summits, factory tours for VIPs and press, industry conferences (RE+, Intersolar, Energy Storage Summit); own operational execution while Marketing owns brand narrative. 
  • Build and manage the annual events calendar and budget in coordination with Finance. 
  • Establish Peak's events playbook - vendor lists, run-of-show templates, budget frameworks, brand guardrails - so the function scales cleanly as the company grows. 
  • Manage on-site logistics for high-priority visitors: investors, customers, technical partners, government officials, press. 

What You'll Bring — Required 

  • 5+ years of executive assistant experience supporting C-level or VP+ leaders as a career EA. 
  • Demonstrated ownership of events at scale; comfortable running programs from small offsites through multi-hundred-attendee gatherings, concept through execution. 
  • Prior experience managing travel for multiple executives, including international travel with complex itineraries. 
  • Comfort supporting multiple executives at once with distinct preferences and working styles. 
  • Excellent judgment and absolute discretion with sensitive information. 
  • Strong written communicator; meeting summaries, event briefs, and internal comms that are tight and useful. 
  • Proficient with Google Workspace, Microsoft 365, Slack, Zoom, and standard travel/expense platforms. 
  • Comfort with modern AI and workflow automation tools to drive personal productivity. 
  • Bay Area based; willing to be onsite in Burlingame regularly. 

What You'll Bring - Preferred 

  • Prior experience supporting a CEO or founder, including calendar strategy, board coordination, and investor logistics. 
  • Experience supporting a CEO or executive team through a major milestone: fundraise, factory launch, IPO, or similar. 
  • Prior experience at a high-growth startup or scale-up. 
  • Experience running events for several hundred attendees, including multi-stakeholder events with press, customers, and investors. 
  • Familiarity with hardware or cleantech companies, comfort with the pace and operating style.

Compensation & Benefits 

The salary range for this role is $130,000 – $165,000, with actual pay varying based on work location, experience, and skills.
