marketing, content, and strategic media campaigns.
Role Overview
We are seeking a highly organised, proactive, and detail-oriented Executive Assistant & CMS
Coordinator to support our Executive Editors, CMS Managers, Editorial Assistants, and help
manage publishing, scheduling, and day-to-day content operations.
This is a hybrid role combining classic executive support (calendar management, brief prep,
inbox filtering) with digital coordination across our CMS, content trackers, design
workflows, and client deliverables.
The ideal candidate will be a natural multitasker, confident communicator, and highly reliable
executor who thrives in fast-paced, international environments. You’ll be trusted with access
to sensitive materials and involved in managing the cadence of both our editorial and client
campaigns.
Key Responsibilities
Executive Support
- Manage inbox triage, flag urgent tasks, and respond to routine communications
- Own calendar and scheduling for internal and external meetings (including
international calls)
- Coordinate preparation for interviews, panels, events, and speaking engagements
- Draft and format basic internal comms, notes, and meeting summaries
- Support travel and event logistics for speaking or filming engagements
CMS & Content Coordination
- Upload and manage articles, podcasts, and videos on the TTP CMS (Ghost / Webflow
/ Notion-based back end)
- Liaise with design, editorial, and web teams to ensure timely publishing and
formatting
- Maintain content calendars and ensure link consistency across newsletters, magazine
issues, and archives
- Light editing/proofreading or templated copywriting (as required)
- Project & Client Coordination
- Maintain and update task trackers, dashboards, and deliverables folders across
projects
- Schedule internal deadlines, ensure accountability, and send reminders/follow-ups
- Help compile analytics snapshots, editorial round-ups, and engagement reports
- Liaise with client POCs for scheduling and routine status check-ins
Skills & Experience
Essential
- 5+ years in an executive assistant, content coordinator, or editorial/project support
role
- Exceptional attention to detail and time management
- Strong written communication skills and professional tone
- Familiarity with CMS platforms and content workflows (e.g. WordPress, Ghost,
Notion, Webflow)
- Comfortable with Google Workspace, Slack, Zoom, Trello/ClickUp, and file
management tools
- Discretion and professionalism when handling confidential information
Desirable
- Experience working in media, communications, or development/finance-related
organisations
- Basic editing, copywriting, or social scheduling experience
- Understanding of newsletter platforms, tagging structures, or metadata conventions
- Visual or design tool familiarity (e.g. Canva, Figma, Adobe Express)
Location
Remote-first role, ideally based in a UK or Asia-friendly timezone.
Hybrid (London-based) availability welcome but not required. Occasional travel or event coordination may be
needed.
