This position will assist Executives with meeting and travel arrangements, schedule management, emails, technology support, material preparation, and distribution. This person will be required to be in the office Monday-Friday.

Main Responsibilities

  • Manage complex schedules and calendars.
  • Schedule travel arrangements - domestic and limited international.
  • Organize and submit expense reports.
  • Schedule conference calls.
  • Keep contact information in Outlook updated.
  • Type correspondence/memos, proofread documents, assemble reports and presentations.
  • Update client information in JLL’s internal database.
  • Participate in key projects and lead presentation material preparation.
  • Must be able to work overtime on short notice.
  • May be asked on occasion to help with personal scheduling and travel.
  • Other duties assigned.

Experience Required

  • Minimum of 5 to 10 years’ experience supporting C-Level Executives.
  • Must have some experience in the real estate industry. There may be some RE transaction help (due diligence coordination) with the position.
  • Strong communication skills written and verbal with excellent spelling and organizational skills.
  • Must be detail oriented and able to handle multiple tasks in an extremely fast paced environment.
  • Ability to be an independent worker and strategic thinker with a team player attitude.
  • Ability to work to meet tight deadlines is critical.
  • Previous related experience in the financial or real estate services industries preferred.
  • Must be a self-starter and work without day-to-day supervision.
  • Must have experience coordinating client events.
  • Experience managing social media is a plus (LinkedIn Postings, etc.)

Education

  • Bachelor's Degree or equivalent experience required.

Computer Skills

  • Intermediate to advanced working knowledge of Outlook, Word, Excel, and PowerPoint
  • Strong experience in Power Point preferred. 
  • Graphic Design experience is a plus.

Environment

  • Office – work with computers, copiers, and scanners.

Compensation

The range shown below is an estimated base salary. This position also qualifies for an additional discretionary bonus.

This position does not provide visa sponsorship. Candidates must be authorized to work in the United States without sponsorship.
