The Events Coordinator will be the single point of contact for all event-related activities, ensuring that each event aligns with our corporate objectives, brand guidelines, and budget. This role requires a blend of creative vision, project management skills, and a strong ability to manage multiple projects simultaneously. The ideal candidate will be a proactive problem-solver with a proven track record of successfully executing high-impact events.

WHAT YOU'LL DO

Trade Show Management:

  • Strategy and planning: Collaborate with the marketing and sales teams to develop a comprehensive trade show strategy and calendar that supports business goals, including lead generation, brand awareness, and relationship building.

  • Booth and logistics: Source, design, and manage the logistics for trade show booths, including vendor negotiation, shipping, setup, and teardown. Ensure all branding and messaging are consistent and impactful.

  • Budget management: Create and manage event budgets, track expenses, and provide post-event ROI analysis.

  • Promotions and communications: Coordinate with the marketing team to develop pre-show and post-show promotional campaigns, including email marketing, social media, and press releases.

  • Staffing and training: Organize and train internal staff for booth duty, ensuring they are knowledgeable about the products/services and equipped to engage with attendees.

  • Lead management: Implement and oversee a system for capturing, tracking, and distributing leads generated from trade shows to the sales team for timely follow-up.

  • Measurement: Analyze event performance against KPIs, providing detailed reports and recommendations for future events.

General Events Management:

  • Corporate events: Plan and execute a variety of other corporate events, which may include internal company meetings, conferences, customer appreciation events, and product launches.

  • Vendor relations: Build and maintain strong relationships with a network of vendors, including venues, caterers, audiovisual companies, and a variety of suppliers.

  • Sponsorships and partnerships: Identify and manage sponsorship opportunities at relevant industry events.

  • Budgeting: Develop, track, and manage all event budgets, ensuring cost-effectiveness and adherence to financial guidelines.

  • On-site management: Be the main point of contact during events, overseeing all on-site logistics, troubleshooting issues, and ensuring a seamless experience.

WHAT YOU'LL NEED

  • Bachelor's degree in Marketing, Communications, or a related field.

  • Six to eight years of experience in corporate events management, with extensive experience managing trade shows.

  • Proven ability to manage budgets and deliver projects on time and within scope.

  • Excellent project management, organizational, and multitasking skills.

  • Strong negotiation and vendor management abilities.

  • Exceptional communication, interpersonal, and presentation skills.

  • Proficiency with event management software and CRM tools.

  • Ability to travel for events, sometimes on weekends.

  • A creative and strategic thinker who can bring innovative ideas to the table.

  • A team player with a positive attitude and a passion for creating memorable experiences.
