We are seeking a seasoned events manager who is experienced with marketing and promoting in conjunction with planning, managing, and executing events. This person should be experienced/comfortable working with event vendors, extremely detail-oriented, able to provide solutions to last-minute changes, enjoys creating lists and schedules, and possesses strong communication skills.

Job Duties and Responsibilities:

Event logistics planning and execution which includes, but is not limited to:

  • Plan, Manage, and execute all aspects of physical event series including: project planning, event concepts, budgets, promotion, communications, production, site planning, vendor management, event staffing, event communications, runs of show, event speakers, scripts and keynotes, analysis and reporting, and flawless execution day of event.
  • Provide strategy and guidance on brand activation as part of an overall marketing and promotion strategy, contributing innovative ideas, concepts and tactics.
  • Develop a deep understanding of Avasant’s brand, mission, and positioning to ensure that all materials and events leverage the brand and communicate key messaging clearly and effectively.
  • Develop strategic relationships with venues, vendors, corporate partners and sponsors, key stakeholders, etc. Current portfolio of vendor relationships is a plus!
  • Determine fiscal requirements and manage event budget including the collection of receipts and all surrounding documents.
  • Source vendors for event needs, including but limited to AV, lighting, catering, entertainment, photographer, videographer, activations/experiences. Negotiate vendors contracts to ensure lowest cost and highest quality of service.
  • Develop online and offline communications materials supporting events
  • Manage the production of event marketing collateral including but not limited to: sponsorship signage, brochures, invitations (printed and digital), programs, email and direct mail pieces.
  • Set, communicate and maintain timelines and priorities on event programs. 
  • Collaborate with marketing, content, and executive teams to ideate and execute event initiatives.
  • Manage the day-to-day relationship and activities with external vendors and event partners.
  • Coordinate event environment (signage, branding etc.) and manage the execution of events onsite.
  • Analyze event operations and prepare and implement recommendations for improving operational efficiencies within the events.
  • Troubleshoot and smooth issues related to the successful execution of the event program.
  • Provide post event analysis, budget recaps, internal and client feedback and incorporate learning into future event plans.

Qualifications

  • Minimum 3 years of working experience in events, marketing, and promotion.  
  • Experience in developing and executing on large scale corporate events.
  • Experiential Marketing, Public Relations, Brand and Content Integration experience preferred.
  • Strong leadership skills and the ability to collaborate effectively with colleagues and vendors at all levels to meet business goals.
  • Experience in vendor relations and negotiating rates. Candidate with a current portfolio of trusted vendors is a plus.
  • Experience with Cvent app is a plus!
  • Relationships with third-party program manager and support staff is a plus.
  • Exceptional attention to detail.
  • Ability to work independently with little oversight and a positive attitude.
  • Exceptional written and oral communication skills.
  • Excellent organizational, planning and project management skills.
  • Ability to develop strong networks and build credibility within the organization.
  • Flexible and solution-oriented approach with excellent time management skills who operates with a sense of urgency.
  • Excellent computer skills, including proficiency with Word, PowerPoint and Excel as well as flexibility with similar alternative programs. Additionally, experience with Hubspot is highly recommended!
  • Ability to process a vast amount of information and understand and prioritize competing business needs.
  • Proven ability to take direction and input in order to develop effective and engaging branded events that will achieve organizational goals.
  • Willingness to roll up his/her sleeves to get the work done or go the extra mile. Strong personal work ethic.

Candidate must possess a valid driver’s license and/or your own transportation

This role requires candidates to have a current valid work authorization to work in the United States or be Canadian or Mexican nationals eligible for NAFTA TN work authorization as a management consultant. Avasant will not sponsor any other work authorization for any candidates.
