Job Description
The Asset and Wealth Management (AWM) Events Team plans and executes small client events as well as the support for the Private Bank's participation in the J.P. Morgan Healthcare Conference. You will have the opportunity to directly support and partner with Asset Management (AM) Event Planners.
As an Events Management Analyst within the Asset Management Events Team, you will report to the Head of West Private Bank Events supporting the Bay area and plan/execute small client events from concept to execution on an as needed basis. You will play a role in the event strategy for the Northern California team, bringing creative ideas, suggested venues and proposed content to the market with considerable thought to strategic execution. In addition, you will assist your manager and colleagues with work related to event responsibilities including the Private Bank's participation in the J.P. Morgan Healthcare Conference, you will also provide support to the West Region Head of Events for special projects on an as needed basis. You will also primarily focus on local/regional client events but can be involved in large events targeting a global client base.
Job responsibilities
  • Understand business objectives and supporting senior members on the team in developing an event strategy that supports business goals
  • Manage administrative support for the Western Region events team, including invoice processing; name badge, menu and place card production; creating of invitations; host tracking; event material production and distribution; seating assignments for events; packing and shipping of event supplies
  • Support data management by leveraging our events management platform to track events, manage RSVPs pre and post event and ROI analysis
  • Manage confidential client data, various event budgets, calendars, and operational efficiencies
  • Manage budget support including invoicing and expense management
  • Manage post-event tasks such as final data management and event debrief documents
  • Maintain event supplies inventory, ensuring all necessary items are in stock and well organized
  • Assist in researching event venues and obtaining event proposals
  • Secure event venues; contract audio visual companies and other associated vendors as required to execute programs
  • Manage onsite event staffing which may include registration desk management, distribution of materials, oversight of presentations/AV needs, speaker handling, and coordination with vendors
  • Participate in weekly regional team meetings, budget calls, and multiple banker meetings providing event updates; assist on special projects as directed by the Head of West Events, including working on data management & attendee registration for the J.P. Morgan Healthcare Conference

Required qualifications, capabilities, and skills
  • 2+ years prior experience in event management related activities
  • Strong proficiency in Microsoft Excel, Word & PowerPoint
  • Excellent oral and written communications skills
  • Ability to work early morning and late evening events and ability to travel
  • Ability to prioritize tasks and communicate clearly amongst a variety of personalities
  • Excellent organizational skills and extreme attention to detail

Preferred qualifications, capabilities, and skills
  • Prior experience in financial services
