The Role:

We are seeking an Event Coordinator to join our team and play a vital role in the successful execution of in-person and virtual events, including webinars and podcasts. The Event Coordinator will work closely with the Marketing Manager to drive execution and ensure event success. Additionally, this role will assist the Events & Marketing Director with administrative tasks and take on stretch projects as needed.

How You Will Make an Impact:

Event Support & Logistics:

  • Oversee event logistics, coordinating internal team contributions, managing swag shipments, and handling related tasks to ensure smooth execution

  • Assist in managing event timelines, schedules, and vendor communications, ensuring all aspects of the event are on track

  • Collaborate with third-party event contacts to confirm sponsorship and networking opportunities, ensuring pricing aligns with the established budget

Communication Management:

  • Support the Marketing Manager in managing event communications, including event briefs, social media posts, email invitations, and landing pages

  • Coordinate with sales teams to support pre- and post-event outreach and follow-up

  • Serve as the primary point of contact for event-related Slack channels, ensuring consistent, clear communication across teams

  • Collaborate cross-functionally with internal teams to share updates, clarify tasks, and address questions in a timely manner

  • Draft, schedule, and post key messages, including event updates, timelines, and deliverables

Additional Responsibilities:

  • Provide administrative support to the Events & Marketing Director as needed, including managing schedules, coordinating meetings, and preparing event-related materials

  • Assist in submitting vendor contracts

  • Take on stretch projects as needed, including special initiatives or tasks that support broader event strategy

What You Bring to The Team:

  • Bachelor’s degree in Event Management, Marketing, Communications, or a related field

  • 2+ years of experience in event planning, virtual webinars, podcast coordination, or a similar role

  • Exceptional organizational skills with the ability to manage multiple tasks and deadlines

  • Excellent communication and interpersonal skills, with the ability to work collaboratively across teams

  • Proficiency in Microsoft Office (Excel, Word, PowerPoint), Asana and event management software

  • Experience with CRM systems (e.g., Salesforce and Salesloft) is a plus

  • Ability to travel for events as needed, including some weekends

  • Creative mindset, bringing fun and innovative ideas to enhance participation and engagement at live events
