This role is responsible for providing high-level construction support services, ensuring the accuracy and integrity of project documentation for large-scale infrastructure work. The Document Control Specialist helps maintain consistent workflows, supports contract administration processes, and ensures effective coordination between Project Managers, technical teams, and external partners. This position plays a key role in ensuring timely processing of change orders, accurate tracking of RFIs and submittals, and compliance with rigorous agency filing procedures. The Document Control Specialist will work closely with internal staff and vendors to support organized documentation and smooth project operations within a fast-paced construction management environment.
Position Summary:
The Document Control Specialist supports the Project Management team by performing day-to-day document management functions, including contract administration support, tracking project deliverables, and maintaining comprehensive project logs. This role requires a strong understanding of construction workflows and experience working within digital platforms such as SharePoint, OneDrive, or specialized project control software.
The Document Control Specialist plays a critical role in ensuring project compliance, organized record-keeping, and the efficient flow of information between all project stakeholders within the construction and engineering industry.
Key Responsibilities:
General Document Control:
• Establish and maintain project document filing systems in accordance with established procedures
• Prepare and review written correspondence for formatting, punctuation, and grammar
• Prepare meeting minutes, status updates, and formal reports using standardized forms
• Maintain and update comprehensive document control logs to ensure accurate project tracking
• Develop and maintain electronic filing systems for efficient document retrieval and collaboration
Project & Industry-Specific Support:
• Assist Project Managers with the preparation of change orders, notices to proceed, and requests for quotation (RFQs)
• Support the processing of construction-specific documents including submittals and Requests for Information (RFIs)
• Enter and track project documentation within project management systems to ensure alignment with control software
• Support Project Managers in processing payment requests and verifying invoice documentation
• Demonstrate flexibility and adaptability while supporting multiple projects simultaneously
Qualifications:
Required:
• 5+ years of document control experience specifically in the construction field
• Experience working with public agencies or government entities
• Proficient in Microsoft Office, with advanced skills in Excel and spreadsheet management
• Experience with OneDrive, SharePoint, or other digital collaboration platforms
• Must be detail-oriented with effective organization and coordination skills
• Ability to work in a fast-paced environment and meet tight deadlines
• Knowledge or experience using Expedition/CM13
• Familiarity with other Project Control Software
• Experience in preparing formal Board letters or high-level agency correspondence
