The Litigation Docketing Specialist is responsible for monitoring all docketing requests within their assignment group and docketing deadlines in a timely manner according to firm guidelines and procedures utilizing the firm’s docketing software. This position is remote for someone in the following areas: Atlanta, Austin, Chicago, Cincinnati, Cleveland, Columbus, Dallas, Denver, Houston, Philadelphia, Seattle.


ESSENTIAL JOB FUNCTIONS INCLUDE:

  • Independently docket for designated assignment groups, which may consist of specific offices or practice groups as well as shared e-mailboxes.
  • Review filed documents and written docketing requests to identify and docket all deadlines.
  • Perform limited research as needed in the context of verifying applicability of deadlines by reviewing court and agency websites and dockets.
  • Communicate regularly with case teams to gather additional information necessary to accurately maintain case docketing.
  • Verify accuracy of docketed items and deadlines generated by the docketing software.
  • Ensure accuracy of case information and timekeepers on each matter.
  • Generate and distribute docket reports for case teams.
  • Respond professionally and promptly to all questions and requests from case teams regarding calculation of deadlines, court and agency rules and procedures, and firm docketing guidelines.
  • Maintain a working knowledge of updates and developments in the rules and procedures within the designated docketing assignment group.

QUALIFICATIONS AND CORE REQUIREMENTS:

  • Consistently deliver superior docketing services by completing docketing requests efficiently and accurately.
  • Always interact with team members and all firm personnel in a professional and courteous manner.
  • Strong critical thinking skills to process complex orders and analyze effects on other case deadlines.
  • Excellent organizational, time management and prioritization skills.
  • Ability to work collaboratively within a team and to adapt to changing business demands.
  • Professional integrity required and ability to maintain confidentiality and build trust with case teams.

EDUCATION AND EXPERIENCE:

  • High school diploma or General Education Degree (GED); and 3 years of litigation docketing experience utilizing docketing software.
  • Paralegal Certificate preferred.
  • Strong knowledge of the litigation process, court rules and procedures.
  • Familiarity with federal and state court systems, as well as arbitration, mediation, and administrative government agencies.

TECHNICAL SKILLS:

  • Proficiency with docketing software, preferably Aderant’s CompuLaw and/or Milana.
  • Demonstrated proficiency in Microsoft Office Suite including Word, Outlook, Excel, and PowerPoint.
  • Proven aptitude to learn new software applications.
  • Familiarity with PACER and other electronic case filing systems.

 

LANGUAGE SKILLS:

  • Ability to communicate with end users and other department staff members.
  • Ability to speak effectively with all levels of clients and professional and support staff. Interpersonal communication skills are necessary to maintain effective relationships with partners, attorneys, clients, and staff and to exhibit a high degree of responsiveness, diplomacy and professionalism in these interactions.
  • Ability to respond to common inquiries or complaints from all levels of professional and support staff, clients, regulatory agencies, or members of the business community.

 

MATHEMATICAL SKILLS:

  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

 

REASONING ABILITY:

  • Ability to apply common sense understanding to follow instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving concrete variables in standardized situations.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Ability to interpret an extensive variety of instructions and deal with abstract and concrete variables.
  • Exhibit independent thinking and decision making.
  • Ability to interpret an extensive variety of instructions in mathematical or diagram form and deal with abstract and concrete variables.
  • Ability to think strategically, develop tactics and execute pragmatically.

OTHER SKILLS and ABILITIES

  • Strong analytical and communication skills both oral and written.
  • Excellent organizational and planning skills with ability to prioritize multiple tasks and projects to meet deadlines.
  • Ability to work overtime when needed. Work occasionally requires more than 40 hours per week to perform the essential duties of the position.

  • The employee must occasionally lift and/or move up to 25 pounds.
  • Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and the ability to adjust focus.

The expected annual salary for this position ranges from $65,000-90,000. The salary offered will be determined by a wide range of factors including but not limited to experience level, education/training, and relevant skills.
