The Data Entry Clerk is responsible for accurately entering, updating, organizing, and maintaining company information in databases, spreadsheets, computer systems, and electronic records. The ideal candidate is detail-oriented, organized, dependable, and comfortable working with large amounts of information while maintaining accuracy and confidentiality.
Key Responsibilities
Enter and update customer, financial, inventory, employee, or business information into computer systems.
Review documents and source information for completeness and accuracy.
Verify data and identify missing, incorrect, or duplicate information.
Maintain accurate electronic and, when necessary, paper records.
Organize and manage files, documents, spreadsheets, and databases.
Process invoices, forms, applications, reports, orders, and other business documents.
Perform routine data cleanup and corrections.
Compare entered information with original documents to identify errors.
Retrieve and provide information when requested by authorized employees.
Scan, upload, rename, and organize electronic documents.
Maintain confidentiality of sensitive company and customer information.
Follow established data-entry procedures and company policies.
Prepare basic reports and spreadsheets as requested.
Communicate with other departments to clarify incomplete or inconsistent information.
Meet established accuracy, productivity, and deadline requirements.
Perform general administrative duties as assigned.
Required Qualifications
High school diploma or equivalent preferred.
Previous data entry, administrative, clerical, or office experience preferred.
Strong typing and computer skills.
Good knowledge of Microsoft Office, particularly Excel and Word.
Strong attention to detail and accuracy.
Ability to read and interpret documents and instructions.
Good organizational and time-management skills.
Ability to work independently with minimal supervision.
Ability to handle confidential information professionally.
Reliable attendance and punctuality.
Preferred Qualifications
Experience with databases, CRM systems, ERP systems, or document-management software.
Experience with Microsoft Excel, Google Sheets, or similar spreadsheet programs.
Experience processing invoices, orders, customer records, or financial information.
Strong typing speed with a high level of accuracy.
Previous office or administrative experience.
