The Conflicts Specialist will perform firm-wide conflict-of-interest checks, including for potential new clients and matters, re-opened matters, lateral hires and marketing pitches, to ensure that the Firm avoids any conflicts with its current and potential clients’ interests. Provide attorneys and Conflict Analysts/Attorneys with accurate and timely information to facilitate making informed decisions regarding the acceptance of new business and hiring. This position entails daily interaction with secretaries and attorneys regarding the use of the automated software and research and procedures relating to conflict searching and file opening.
What You Will Do:
• Review and triage conflict requests to ensure that information to be checked is complete and accurate. Review to confirm that the correct request type is selected, all relevant parties with the correct position and relationship codes are added to the search, and that we have sufficient information regarding the conflict check for accurate analysis. Communicate with secretaries, attorneys and/or Conflict Analysts/Attorneys to ensure that we have complete and accurate information.
• Prioritize work and perform conflict-of-interest searches using the Firm’s conflicts software. Perform Capital IQ and other web-based research relating to individuals/companies to be searched.
• Report complete and accurate conflict results in a timely fashion through use of automated workflow software.
• Attach complete conflict search logs to client/matter numbers once assigned, along with maintenance of an accurate electronic record of all approved or rejected conflict searches.
• Assist secretaries and provide support to attorneys on use of the electronic workflow system for conflict checking and assist firm personnel on the business policies and practices of the department.
• Assist Business Intake team in preparing the daily case summary, opening new clients and matters through the use of the firm’s accounting software, and handling all other secretarial requests, including for client and matter name changes.
• Coordinate daily operation of conflicts/new business workflow, assisting conflicts team and Conflicts Analysts/Attorneys.
• Maintain waiver and engagement letter file.
• Assume responsibility for maintaining the highest level of confidentiality of all Firm records and files.
• Maintain knowledge of trends, developments and new technologies impacting the Business Intake and Conflicts Department
Who You Are:
• Experience in performing and understanding conflict checks, understanding and use of automated conflict checking software, preferred.
• Experience with corporate family tree research, and other web-based research on individuals and entities.
• Prior law firm experience and experience with standard suite of Windows products (Word, Outlook, Excel) preferred.
• Strong analytical and problem-solving skills, strong attention to detail and ability to organize and prioritize multiple assignments. Ability to use initiative and judgment to accomplish results, work under pressure and complete job assignments in an accurate and timely manner.
• Strong verbal and written communications, interpersonal and customer service skills and ability to interact effectively with all levels of management and staff.
• Prior conflicts experience preferred.
