About the role: Communications Specialist, CEO Office

This is not a typical entry-level role. As a Communications Specialist in the CEO Office, you will work directly with the CEO and the senior leadership team helping drive clarity, alignment, and execution at the highest level of the company.

You will operate at the intersection of strategy, communication, and execution, ensuring the CEO’s priorities translate into action across the organization. If you’re someone who thrives in fast-moving environments, obsesses over details, and wants to learn how a high-growth AI company is run from the inside - this role is for you.

What you will do: Responsibilities

  • Craft high-impact emails, memos, and company-wide communications on behalf of the CEO
  • Own and optimize the CEO’s calendar prioritizing what matters most
  • Coordinate high-stakes meetings, including email introductions and scheduling across stakeholders
  • Coordinate CEO travel logistics and expense management
  • Ensure all meetings are set up for success with prep materials distributed 48 hours in advance
  • Track critical action items and follow-ups nothing falls through the cracks
  • Prepare detailed briefing documents for meetings with customers, investors, and partners
  • Identify bottlenecks in internal workflows and proactively surface solutions
  • Support ongoing internal operations reviews and leadership cadence meetings
  • Drive cross-functional alignment by ensuring clarity in priorities and execution
  • Act as a connective layer across teams keeping information flowing and decisions moving
  • Create high-quality content including CEO LinkedIn posts, blogs, and internal newsletters
  • Attend key internal meetings alongside the CEO and leadership team to capture sharp, structured notes and distill them into actionable summaries
  • Track decisions, owners, and deadlines to ensure momentum continues after meetings
  • Support company-wide communications such as town halls and major announcements
  • Assist with PR coordination, media opportunities, and speaking engagements for the CEO office

Minimum Qualifications

  • Bachelor’s degree in communications, Marketing, Business, Journalism, or related field
  • 0–2 years of experience
  • Exceptional writing, editing, and storytelling ability

Preferred Qualifications

  • Experience supporting executives or leadership teams
  • Strong interest in AI, emerging technology, or startups
  • Highly organized with obsessive attention to detail
  • Ability to thrive in ambiguity and move quickly without losing precision
  • Professional presence, sound judgment, and discretion

Compensation & Benefits

  • Base salary: $50,000 – $65,000 USD (based on experience)
  • Equity in the form of stock options

Location: This role is not remote. Candidates must be based in the Bay Area, CA and are expected to report to our Pleasanton office 5 days a week.
