Commercial / Multifamily Brokerage We are a top-performing and fast-moving multifamily investment sales team seeking an experienced Transaction Coordinator / Operations Administrator to manage deal flow and day-to-day operations with minimal oversight. This role is for someone who understands the context of commercial real estate transactions, can anticipate next steps, and takes ownership of communication, follow-ups, and details to keep deals moving smoothly.
The anticipated compensation range for this role is $30 - $35 per hour. The final compensation offered to a successful candidate will be dependent on several factors that may include but are not limited to the type and length of experience within the industry, education, etc. Marcus & Millichap is a multi-state employer, and this salary range may not reflect positions that work in other states.
Responsibilities:
- Transaction and Deal Coordination
- Manage deals from listing through closing
- Draft and manage contracts, including listing agreements, extensions, addenda, offers, counters, contingency removals, and escrow documents, and send for signature via DocuSign.
- Track offers, counters, timelines, and contingencies
- Coordinate escrow-related items and client communication including inspections, appraisals, 9A retrofits, prelim, NHD, and closing logistics
- Set up and manage due diligence folders, audits, and seller needs lists
- Handle closing paperwork and internal closing submissions
- Maintain organized deal files and folder systems
- Keep internal trackers current (pipeline, closing logs, tour logs, offer tables)
- Update Trello (or similar tools) to reflect real-time deal progress
- Handle quick-turn requests with proper prioritization and communication
- Respond to inbound inquiries on a scheduled basis
- Upload, update, and remove listings on LoopNet, Crexi, MLS, LinkedIn/social media and company website
- Manage status changes, price updates, corrections, and extensions

- Prior experience in a transaction coordinator, admin, or operations role within commercial or multifamily real estate
- Strong understanding of deal flow, escrow, and due diligence
- High attention to detail and strong follow-through
- Ability to manage multiple transactions without step-by-step instruction
- Clear, professional written communication
