We are an established real estate law firm with offices across California. Our Los Angeles office is looking for an Assistant Staff Supervisor to join our growing team. If chosen as the successful candidate, you will assist the Staff Supervisor with the daily management of the landlord tenant department. This role will also service as the primary point of contact for Department Leads and will bridge the gap between frontline operations and senior leadership, maintaining consistency, accountability, and high standards of client service across the team.

Compensation: $30-$40 p/hour


Responsibilities:

People Leadership and Team Oversight

  • Serve as the primary point of contact for day-to-day staff activities, including coordinating work within the department, following up with staff members on assigned work, and providing support with procedural questions and issues.
  • Conduct regular check-ins with Department Leads to monitor team performance, identify issues, and provide coaching and direction.
  • Prioritize people leadership over operational task execution, while remaining available to step in and provide hands-on support across sub-departments when the needs of the team or client service demands it.
  • Address performance and conduct concerns as the first escalation point above Department Leads, in collaboration with the Staff Supervisor.

Performance Management Support

  • Partner closely with the Staff Supervisor on all aspects of the performance management cycle, including performance evaluations, mid-year reviews, and goal setting.
  • Gather input from Department Leads and, where appropriate, prepare draft performance evaluations for review and finalization by the Staff Supervisor.
  • Help identify performance trends across the team through daily observation and reporting data, bringing concerns to the Staff Supervisor proactively.

Talent Management and Onboarding

  • Participate in the recruitment and selection process, including second-round interviews and input on candidate assessment.
  • Play an active role in onboarding new team members, ensuring they are introduced to sub-department functions and connected with the appropriate Department Lead for role-specific training.
  • Support the Staff Supervisor in identifying training needs and ensuring those needs are addressed across the team.

Operational Support and Reporting

  • Assist the Staff Supervisor with time and attendance management for all staff, ensuring timecard accuracy and timely submission.
  • Support report management duties including reviewing items on the Purge, Uncompleted, Missed Billing, and End of Day Billing Review reports, and working with leads to resolve outstanding items.
  • Respond to matter status inquiries from other departments, including Client Reports, Collections, and Money Judgements, ensuring timely and accurate communication.
  • Additional duties in support of client and operational demands may be assigned at the discretion of the Staff Supervisor.

Communication and Coordination

  • Maintain alignment on departmental priorities by working closely with the Staff Supervisor and communicating those priorities clearly to leads and staff.
  • Assist the Staff Supervisor with team meetings, communications, and other administrative functions as needed.

Qualifications:

We are looking for candidates with the following qualifications:

  • High school diploma or equivalent
  • Knowledge of Landlord Tenant processes and procedures
  • ProLaw or equivalent case management system
  • Experience working in a law firm setting
  • Interpersonal communication skills with the ability to exercise tact and diplomacy across all levels of the organization, internally and externally
  • Problem-solving ability with the capacity to quickly assess issues and drive resolution before escalation is needed
  • Strong organizational and multi-tasking skills across a large and varied team
  • Ability to give and receive feedback constructively and professionally
  • Commitment to proactive team management and client-first mindset

The following qualifications are preferred:

  • Bachelor’s degree
  • Experience in a supervisory or lead position

 

Schedule:

Position is full-time at 40 hours/week and is expected to last 1-2 months. Our business hours are 8:30am-5:30pm Monday-Thursday, 8:30am-5:00pm Friday.

We currently offer an in-office/hybrid work model for select positions within the Firm. New hire employees who are offered a hybrid schedule will complete their onboarding and training in-office as deemed necessary for the position by the firm before transitioning to a hybrid schedule, subject to approval by their supervisor.
