This is a remote position.

Our client is looking for a highly organized and proactive Administrative/Project Assistant to support daily operations, coordinate projects, and help keep tasks moving efficiently across the organization. This role is ideal for someone who enjoys managing details, communicating with multiple stakeholders, and ensuring projects stay on schedule.

They are part of the events and experiential services industry and have built a strong reputation for delivering memorable customer experiences while consistently expanding their presence across major U.S. markets.

Responsibilities
  • Provide administrative support to leadership and team members.
  • Coordinate and track project timelines, deliverables, and deadlines.
  • Maintain accurate records, databases, and project documentation.
  • Manage communications through email, messaging platforms, and other business channels.
  • Organize and update information within CRM and project management systems.
  • Assist with scheduling meetings, appointments, and follow-up activities.
  • Monitor project progress and proactively identify potential delays or issues.
  • Prepare reports, spreadsheets, and status updates as needed.
  • Support workflow organization and process improvements.
  • Collaborate with multiple departments to ensure projects remain on track.
  • Maintain documentation and files using cloud-based platforms.
  • Assist with data entry, tracking metrics, and reporting activities.
  • Handle various administrative and operational tasks as assigned.


Requirements

Qualifications
  • Previous experience in an Administrative Assistant, Project Assistant, Project Coordinator, Operations Assistant, Executive Assistant, or similar role.
  • Experience using CRM and project management tools.
  • Proficiency with Google Workspace applications.
  • Experience working remotely and collaborating with distributed teams.
  • Strong documentation and record-management skills.
  • Ability to prioritize tasks and meet deadlines consistently.
  • Experience supporting business operations, project coordination, or client-facing teams is preferred.
