About this role

About the team

The BlackRock Chief of Staff and Global Partners Office (GPO) is a hybrid team, which i) manages the Office of the Chairman and CEO including the CEO’s client and public engagements; ii) helps to drive key strategic and internal management initiatives on behalf of the CEO and senior leadership; iii) manages the relationship with BlackRock’s Board of Directors and iv) leads client strategy and coordination across functions globally for the firm’s largest client and partner relationships.

About this position

We are looking for a high-performing Administrative Business Lead to join our team to support Stacey Mullin, Chief of Staff for BlackRock and Co-Lead of GPO. This role also includes supporting the BlackRock Board of Directors by providing scheduling and travel logistical support to the members of the Board.

Key responsibilities

  • Manage Stacey’s calendar, including the complex coordination of in-person and virtual meetings with multiple participants across different time zones.  Help Stacey prioritize competing meeting requests, in particular those involving BlackRock’s CEO or C-suite client leaders, and use judgement to immediately escalate high priority requests.
  • Help keep Stacey on time for meetings and quickly respond to real time requests throughout the day, including phone calls from the Executive Suite, C-suite client leaders, Board members and other BlackRock senior leaders.
  • Liaise with the Executive Assistants who support members of the BLK Board of Directors to coordinate travel logistics for the 6 in person Board meetings per year, determine availability for ad hoc telephonic Board meetings, and assist the Board’s EAs as needed with any questions.  Coordinate with the AV team on Board meeting logistics.
  • Ensure Stacey is prepared for both her own meetings and to answer questions about the CEO’s schedule of meetings by maintaining context documents in Stacey’s OneNote.  For example, ensuring that the CEO’s schedule as well as the materials that the Chief of Staff team provides to the CEO are loaded in Stacey’s OneNote in a timely manner.
  • Where needed, arrange domestic and international travel via Concur (flights, hotels, cars, visas if required).  Where travel is arranged by the Executive Suite, cross-check the details of Stacey’s travel to ensure no gaps.

Skills/Qualifications

  • Gravitas to engage with C-suite personnel and their teams
  • Highly organized with the ability to track multiple tasks to completion, across different stakeholders and timelines
  • Meticulous attention to detail
  • Use judgment to quickly pivot and adapt to changing priorities in a fast-paced environment
  • Ability to build strong, respectful relationships with team members and peers across the firm
  • Positive “can-do” attitude
  • High degree of professional discretion and integrity
  • Proficient with the Microsoft Office suite
  • Committed to being in the office 5 days per week on most weeks
  • 10+ years of administrative experience in a corporate setting

What you need to know about the Los Angeles Tech Scene

Los Angeles is a global leader in entertainment, so it’s no surprise that many of the biggest players in streaming, digital media and game development call the city home. But the city boasts plenty of non-entertainment innovation as well, with tech companies spanning verticals like AI, fintech, e-commerce and biotech. With major universities like Caltech, UCLA, USC and the nearby UC Irvine, the city has a steady supply of top-flight tech and engineering talent — not counting the graduates flocking to Los Angeles from across the world to enjoy its beaches, culture and year-round temperate climate.

Key Facts About Los Angeles Tech

  • Number of Tech Workers: 375,800; 5.5% of overall workforce (2024 CompTIA survey)
  • Major Tech Employers: Snap, Netflix, SpaceX, Disney, Google
  • Key Industries: Artificial intelligence, adtech, media, software, game development
  • Funding Landscape: $11.6 billion in venture capital funding in 2024 (Pitchbook)
  • Notable Investors: Strong Ventures, Fifth Wall, Upfront Ventures, Mucker Capital, Kittyhawk Ventures
  • Research Centers and Universities: California Institute of Technology, UCLA, University of Southern California, UC Irvine, Pepperdine, California Institute for Immunology and Immunotherapy, Center for Quantum Science and Engineering
