Description

Under supervision, performs a variety of general clerical and administrative support duties.

Responsibilities

  • Order and maintain office and general workplace supplies.
  • Coordinate with building management and outside vendors regarding office maintenance, repairs, security, cleaning, and other services.
  • Monitor office conditions and proactively identify maintenance, supply, or operational needs.
  • Prepare correspondence, reports, presentations, spreadsheets, and other business documents as needed.
  • Maintain electronic and physical files and ensure records are organized and accessible.
  • Assist with scheduling meetings, appointments, and travel arrangements when requested.
  • Support employee onboarding and offboarding activities, including workspace preparation, equipment coordination, access requests, and other administrative needs.
  • Assist Accounting with invoices, purchase orders, expense documentation, and vendor records as needed.
  • Provide administrative support to Human Resources and other departments when requested.
  • Maintain office contact lists, directories, calendars, and other administrative resources.
  • Coordinate company meetings, lunches, celebrations, and employee events.
  • Assist experts in the office with scheduling of calls, meetings, etc. 
  • Maintain confidentiality when handling employee, client, financial, and company information.

 

Qualifications

  • High School Diploma or equivalent
  • Excellent verbal and written communication skills
  • 5+ years of prior office/administrative experience preferred
  • Intermediate MS Office and typing skills 
  • Can problem solve and demonstrate initiative
  • Able to switch tasks quickly as work priority demands
  • Ability to work as part of a team, with multiple managers

 

Physical Requirements

  • The ability to sit at a desk up to 80% of the time
  • The ability to stand and walk up to 20% of the time
  • The ability to be confined in a small area, such as a cubicle
  • The ability to operate phones and computers
  • The ability to work in front of a computer for most of the day

The functions of this role are conducted in an office environment.
