The Senior Administrative Assistant provides advanced administrative and operational support, coordinating complex schedules, meetings, communications, and administrative processes to support the effective execution of departmental priorities. The role manages calendars, travel arrangements, meeting logistics, correspondence, reports, presentations, and other business documents, while supporting special projects and the coordination of key activities and deliverables. Responsibilities require strong organizational skills, sound judgment, discretion, attention to detail, and the ability to manage multiple priorities, anticipate needs, and work independently in a fast-paced environment with limited supervision.

Job Responsibilities:

  • Provides advanced administrative support to assigned leaders, departments, or teams, ensuring timely coordination of daily operations and priorities.
  • Provides administrative support by assisting with scheduling, meeting preparation, logistics coordination, document support, and follow-up on assigned tasks.
  • Manages complex calendars, schedules meetings, resolves scheduling conflicts, and prepares meeting agendas, materials, and follow-up items.
  • Coordinates travel arrangements, itineraries, meeting logistics, room reservations, catering, and related administrative needs.
  • Prepares, edits, and maintains correspondence, presentations, reports, spreadsheets, meeting notes, and other business documents with a high level of accuracy.
  • Serves as a professional point of contact for internal and external stakeholders, responding to inquiries, routing requests, and escalating matters as appropriate.
  • Supports departmental processes by maintaining records, tracking deadlines, organizing files, processing forms, and ensuring information is complete and up to date.
  • Assists with special projects by gathering information, coordinating tasks, monitoring progress, and providing status updates to support timely completion.
  • Identifies opportunities to improve administrative workflows, office procedures, and team efficiency through practical process improvements.
  • Handles confidential and sensitive information with discretion, professionalism, and sound judgment.
  • Works independently on recurring administrative responsibilities, prioritizing assignments and following through on commitments with minimal supervision.

Job Requirements:

Experience: 5+ years related experience.

Education: HS diploma required/ Bachelors or AA degree preferred.

Other skills:

  • Excellent communication skills; advanced administrative writing skills
  • Excellent customer relations and organizational skills as well as excellent understanding of office practices and procedures.
  • Travel Logistics/Meeting management Skills
  • Advanced knowledge of Microsoft Office Products including excel and PowerPoint.
  • Presentation Skills.
  • Task-oriented with an excellent sense of priority, logic, objectivity and confidentiality.
  • Thrives in fast paced, start-up environment.
  • Demonstrate a significant ability for discretion and confidentiality in the handling of sensitive issues, plus have strong organizational and problem-solving skills.

Pay Range: $70,823.00 - $106,234.00

Pay range may be based on a number of factors including market location, education, responsibilities, experience, etc.
