Job Summary

As an Administrative Assistant for Digital Marketing at AmeriPharma, you will be responsible for providing high-level administrative support to the Digital Marketing department. This role requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The Administrative Assistant plays a key role in supporting the Digital Marketing team by ensuring smooth operations, seamless communication, and effective organization of digital resources. This position is responsible for helping projects stay on track and maintaining overall functional efficiency for the team.

This position offers meaningful exposure to foundational project management skills, team operations, and process support—making it an excellent opportunity for someone looking to launch their career in project management and operational support. Duties and Responsibilities

  • Conduct research for partnerships, marketing initiatives, and team projects.
  • Assist with organizing and maintaining marketing materials and digital resources.
  • Help create and update internal catalogs, references, and documentation for marketing assets.
  • Be involved in internal and external company events, including preparation and onsite support.
  • Prepare and organize documents, reports, and presentations for meetings.
  • Act as a liaison between team members and internal/external stakeholders, maintaining professionalism and confidentiality.
  • Assist in project management, tracking deadlines, and ensuring timely completion of tasks.
  • Handle correspondence, including emails, phone calls, and mail, prioritizing responses and actions as needed.
  • Participate in photo and video shoot coordination.
  • Handle confidential and sensitive information with discretion and maintain a high level of professionalism.
  • Perform other administrative tasks as required to support the Digital Marketing team.

Required Qualifications

  • Knowledge of administrative support and organization, with the ability to multitask and prioritize effectively.
  • Excellent attention to detail and commitment to accuracy in maintaining files, documents, and project-related information.
  • Ability to gather information from multiple sources, synthesize key findings, and create a clear executive summary that answers key questions at a glance.
  • Proficiency in Google Workspace and basic understanding of social media platforms.
  • Ability to learn quickly, adapt to changing priorities, and work effectively in a fast-paced environment.
  • Discretion and confidentiality in handling sensitive information.
  • Strong interpersonal skills and the ability to build relationships and effectively collaborate with stakeholders.

Education and Experience Requirements

  • High School Diploma or equivalent.

Preferred Qualifications

  • Bachelor’s degree in Business Administration, Communications, or related fields.
  • Previous experience as an administrative assistant, secretary, project coordinator, event coordinator, or similar role.
  • Certified Administrative Professional (CAP), Professional Administrative Certification of Excellence (PACE), or similar credential.
  • Multilingual.
