We're looking for a highly organized and detail-oriented Administrative Assistant to join our team at the headquarters in Basel, Switzerland. This dynamic role is essential for supporting the Function, its managers, and teams, by performing critical administrative and procurement-related duties. The ideal candidate will be a proactive, collaborative individual who can manage a diverse workload and help drive the team's success.

What you will do:
Your role is to ensure the smooth, effective operation of the Function through comprehensive support and meticulous task management. This includes:
Executive Support: Provide comprehensive administrative support to designated Function Managers, including managing complex diaries, handling all domestic and international travel logistics (flights, hotels, visas), and preparing expense reports.
Meeting & Communication Management: Coordinate both internal and external meetings (room booking, hospitality, agenda), and prepare necessary presentation materials.
Procurement & Financial Administration: Oversee the Procure-to-Pay (P2P) cycle, including raising Purchase Requisitions (PRs), processing Goods/Service Receipts, maintaining a spend tracker, and assisting with invoice resolution.
Systems & On-boarding: Administer and maintain SharePoint sites and associated access trackers. Manage the entire on-boarding process for new team members to ensure a seamless start and system setup.
Team Collaboration: Build strong relationships with internal and external contacts, manage the Team's Time Recording Tool, and provide essential coverage and support to the wider administrative team during absences.
What we are looking for:
Proven experience as an Administrative or Personal Assistant, ideally supporting senior leadership or executive teams.
Expert user of the Microsoft Office Suite (Excel, PowerPoint, SharePoint) and practical experience with the SAP Ariba system.
Business-fluent written and oral English is essential. Business-fluent German is highly beneficial.
Exceptional organizational skills, meticulous attention to detail, and a proven ability to manage a heavy, diverse workload independently while meeting critical deadlines.
Behavioral Traits: A proactive, self-starter mindset with strong communication and interpersonal skills necessary to interact professionally with employees at all levels.
