Position Summary

We are seeking a highly organized, hands-on, and operationally minded Accounting Manager & Corporate Administration professional to oversee core accounting operations, payroll administration, financial close activities, offshore accounting coordination, and day-to-day corporate administrative functions.

This role will serve as a key partner to the CFO and leadership team, helping strengthen financial infrastructure, improve operational efficiency, and support scalable accounting and operational processes across the organization. The ideal candidate is detail-oriented, proactive, process-driven, and comfortable operating in a fast-paced creative and production environment.

This role requires strong technical accounting knowledge, operational discipline, and the ability to manage cross-functional workflows while remaining hands-on in the day-to-day accounting function.

Key Responsibilities

Accounting & Financial Operations

  • Oversee day-to-day accounting operations including:
    • Accounts payable
    • Accounts receivable
    • General ledger
    • Bank reconciliations
    • Credit card reconciliations
    • Journal entries
    • Accruals and prepaids
  • Manage and support the monthly, quarterly, and year-end close process
  • Ensure accurate and timely financial reporting
  • Maintain integrity of balance sheet reconciliations and supporting schedules
  • Assist in developing and documenting accounting policies and procedures
  • Support cash management and weekly cash reporting activities
  • Assist with implementation and optimization of accounting and operational systems
  • Support audit, tax, insurance, and compliance requests

Revenue Recognition & Billing Coordination

  • Work closely with the Billing team to ensure accurate and timely revenue recognition
  • Assist in monitoring project billing status, invoice timing, and revenue reporting accuracy
  • Help identify and resolve discrepancies between operational/project data and accounting records
  • Support reconciliation of billed vs. recognized revenue
  • Assist with improving operational workflows tied to invoicing, collections, and project closeout processes

Offshore Accounting Team Oversight

  • Oversee and coordinate work performed by offshore accounting support resources
  • Review work product for accuracy, completeness, and timeliness
  • Establish workflows, priorities, and accountability measures for offshore support staff
  • Ensure consistency in accounting processes and documentation standards

Payroll Oversight

  • Oversee payroll processing to ensure accuracy and timely completion
  • Review payroll-related entries, deductions, PTO tracking, and benefit allocations
  • Coordinate with payroll providers and HR regarding employee changes and payroll-related matters
  • Support payroll reconciliations and payroll journal entry review
  • Assist with year-end payroll reporting including W-2s and 1099s
  • Ensure compliance with payroll procedures and applicable regulations

Corporate Administration & Operational Support

  • Support corporate administrative processes and operational compliance
  • Assist with maintenance of business licenses, annual filings, and corporate records
  • Coordinate insurance renewals and support operational documentation requests
  • Assist with vendor management and contract administration tracking
  • Support implementation and administration of company policies and operational procedures
  • Help improve operational accountability and process consistency across departments

Leadership & Team Support

  • Help supervise and support accounting and administrative staff
  • Establish organized workflows, deadlines, and follow-up processes
  • Improve close timelines, reporting accuracy, and process efficiency
  • Foster a culture of accountability, responsiveness, and continuous improvement
  • Serve as a reliable operational partner to the CFO

Qualifications

  • Bachelor’s degree in Accounting, Finance, or related field required
  • 5+ years of progressive accounting experience
  • Experience managing accounting operations in a fast-paced environment
  • Strong understanding of GAAP and core accounting processes
  • Experience overseeing payroll processing and reconciliations
  • Experience working with ERP/accounting systems
  • Strong Excel and financial systems skills
  • Excellent organizational and communication skills
  • Ability to manage multiple priorities and deadlines simultaneously
  • Entertainment, agency, media, production, or creative industry experience preferred

Preferred Experience

  • Experience in project-based or production-based businesses
  • Experience coordinating offshore accounting resources
  • Experience improving accounting processes and workflows
  • Familiarity with California payroll and labor regulations
  • Experience working alongside operational and billing teams

Compensation Range

Expected compensation range for this role is approximately $110,000 – $125,000 annually, depending on experience, qualifications, and industry background.
