Coordinates logistics for the Academy’s Oscars season and Museum Gala, managing special projects, off-site production offices, credentials, departmental requirements, vendors, and event support from start to finish. The role requires strong organization, communication, judgment, multitasking, customer service, and deadline management in a fast-paced environment. Work may occur onsite or remotely, including nights, weekends, and short-notice assignments.

Support daily administrative and technical A/V operations for theaters and events across Academy locations. Lead event A/V, operate lighting and audio consoles, manage digital deliverables, host Zoom meetings/webinars, supervise on-call technicians, maintain Dante and audio-over-IP systems, and travel between sites for events.

Provide facility security and protect exhibits, visitors, and staff by patrolling assigned areas, enforcing policies, assisting with evacuations and emergencies, reporting incidents, greeting guests, and preparing routine security reports. Must follow training, maintain high customer service, and work rotating shifts including nights, weekends, and holidays.

Provide administrative support to the Chief Financial Officer and Chief People and Culture Officer, manage calendars, travel, expenses, invoices, and budget tracking. Serve as primary administrator for Board and committee logistics, materials, minutes, and Board Portal publication. Create reports and spreadsheets, maintain confidential records, support meetings/events, participate in audits, and handle executive communications.

Manage and execute bespoke donor engagement, cultivation, and stewardship for major donors. Maintain a portfolio of 15–30 high-capacity households, lead advancement events, coordinate tours, and partner with museum teams to deepen philanthropic relationships and secure major gifts.

Lead and perform groundskeeping and landscape maintenance including planting, pruning, fertilizing, irrigation, weed abatement, DG and walkway upkeep, equipment operation, trash/debris removal, and support for special event setup and breakdowns.

Lead on-call A/V operations for theater and event activations, supervise technicians, operate lighting and digital audio consoles, troubleshoot audiovisual systems (including Dante/audio-over-IP), coordinate with internal and external stakeholders, and maintain production standards across Academy locations.

Coordinate and implement exhibition design from concept through construction documents and fabrication. Produce renderings, CAD/Vectorworks drawings, models, and presentations; collaborate with curators, fabrication, AV, lighting, and construction teams; source materials and manage prototypes to ensure designs are executed to plan.

Operate, maintain, and troubleshoot mechanical, electrical, plumbing, and life-safety systems for the museum. Perform preventive maintenance, BMS/controls work, CMMS workorders, repairs, incident reporting, and support efficiency and safety initiatives.
