Payroll Manager

Our Finance team is looking for a Payroll Manager to join them. The role will be remote while the office is closed due to COVID-19 and onsite in Santa Monica thereafter.
The Payroll Manager will be working on U.S. and International payrolls as a member of the Finance department. This individual must have great attention to detail, be highly self-motivated and be able to interact professionally with employees, managers and executives. The payroll specialist will be responsible for overseeing timecards, managing new hires and terminations, processing manual checks and adjustments, auditing payroll process in Namely for accuracy and performing special projects as requested. The successful candidate should possess strong communication skills, have a team-oriented personality, and is adaptable and comfortable working in a fast-paced environment.
What You'll Own:
- Prepare, process and review semi-monthly payroll for 200+ employees which includes multi-state salaried, hourly and commissioned employees
- Prepare all sales, business development and other departmental commissions and bonus calculations
- Checks payroll figures for accuracy and ensures necessary reviews and approvals are done
- Ensure all data is submitted to the payroll processing service by the submission deadline
- Communicates with the People Team to ensure the integrity of the payroll data including data related to new hires, terminations, transfers and rate changes and makes updates as necessary
- Researches and resolves questions from managers and employees regarded processed payroll information such as time off, banking, garnishments, employment verification, workers compensation, retroactive pay calculations, tax questions, 401k, reimbursed expenses done through payroll and other changes
- Process special or off-cycle payrolls including special bonuses, year-end adjustments or leaves of absence
- Processing of manual checks such as terminations and discrepancies in line with State requirements
- Manages the process for paying independent contractors such as 1099
- Develops and maintains Standard Operating Procedure documents
- Reconciles and prepares all W-2's and other year-end activities
- Assist Accounting department with annual audit relating to payroll processes, reconciliations and sampling, as well as 401(k) audit and workers compensation audits when required
- Prepare and file quarterly/annual payroll tax forms (i.e., Form 941)
- Prepare payroll entries for posting to the general ledger and prepare payroll related account reconciliations
What You’ll Need:
- 4-5+ or more years experience processing multi-state payroll
- Proficiency in Paychex or Namely HRIS, Microsoft Office 365 and Google Suite
- Knowledge of payroll related laws and tax regulations in various states across the U.S.
- Excellent interpersonal (verbal and written) communication skills
- Ability to work under pressure and meet deadlines
- Strong work ethic and attention to detail, precision and accuracy focus
- Strong organizational and record-keeping skills, and process oriented
- NetSuite or major mid-market ERP system preferred
- Bachelor’s Degree, or Associate’s Degree at a minimum
