The Workplace Operations Lead will build and own the operational infrastructure for Product.ai, overseeing office operations, vendor management, onboarding processes, event logistics, and digital workspace administration. This role requires system-building capabilities and high emotional intelligence to effectively support the team and CEO.
The summary above was generated by AI
We built a $100M+ AI commerce company with 25 people, zero outside capital, and zero debt. No investors. No board. No bureaucracy. Just builders who ship.
Product.ai is the truth engine for shopping. While other AI tools hallucinate product recommendations, we verify. Over a billion dollars in annual transaction volume. Millions of customers. Profitable every year since founding in 2009.
We need someone to build and own the operational infrastructure that makes this company run. Not maintain it - most of it doesn't exist yet. Our office operations, vendor systems, onboarding processes, and event logistics are all greenfield. You'll build them from scratch, own them completely, and make the physical world of this company invisible to the people building product.
This is not an executive assistant role. The company is your client, not the CEO. You report to the CEO, but you serve the team.
Based in Santa Monica, CA. Five days a week in the office. You can't build the operational backbone of a company from a screen.
What You Will Build
  • Office Operations from Zero. There is no maintenance schedule, no vendor management system, no supply chain, no equipment inventory. You'll build all of it. Cleaning, repairs, kitchen, space design, construction coordination, visitor readiness. When a partner walks in, the office looks like a company worth $100M+ because you made it that way.
  • Vendor and Partner Infrastructure. You'll own every external relationship that keeps the company running - bookkeeper, CPA, legal team, HR coordinator, cleaning crew, catering, AV, IT. Contract routing, renewal calendars, competitive bidding, performance tracking. Today these relationships are scattered across three people's inboxes. You'll centralize them into a system.
  • New Hire Onboarding, End-to-End. Right now every new hire is improvised. You'll build the system: pre-arrival equipment and credentials, Day 1 structured schedule, Week 1 role-specific tracks, Day 30 check-in. When someone starts, they have everything without a single leader lifting a finger.
  • Event Execution. Internal offsites, all-hands meetings, community events, brand activations. You own the logistics: venue, catering, AV, vendor coordination, budget tracking. Creative direction stays with our brand team. You make the machinery work.
  • Light CEO and Team Support. Travel coordination, external meeting logistics, interview scheduling. This is roughly 10% of the role and grows over time. You'll also serve as the CEO's in-office sensor - reading team energy, detecting tension, and flagging issues before they escalate. This requires high EQ and the trust of the team.
  • Digital Workspace Administration. Our team runs on Notion and AI tools daily. You'll maintain workspace hygiene, manage templates, and handle light automation. Not building new AI systems - keeping the digital environment as well-organized as the physical one.

Who You Are
  • You build systems, not maintain them. Your resume has at least two examples of creating operational infrastructure where none existed. You don't need a playbook - you write the playbook. Optimizers who improve existing processes are valuable, but this role needs a builder.
  • You own outcomes with zero ego about task scope. Some days you're redesigning the onboarding flow. Other days you're restocking the kitchen or troubleshooting the printer. You measure yourself on how smoothly the company operates, not on how senior your tasks look.
  • You notice what's about to break. You see the vendor contract expiring in 60 days and start the renewal. You see the onboarding checklist missing a step that cost the last hire two hours. The best version of this role is invisible - everything works, nobody knows why.
  • You are comfortable with AI tools and learn new technology fast. Every person on this team uses AI daily - Claude, Notion AI, automated workflows. You don't need to be an engineer, but you need to be genuinely comfortable adopting new tools and figuring them out on your own.
  • You handle sensitive information with absolute discretion. You'll see financial data, legal correspondence, personnel decisions, and strategic plans. You exercise independent judgment about when to surface something and when to handle it yourself.

Ownership
We don't do corporate comp theater. Every builder at Product.ai is an actual owner.
  • Base: $100,000 - $140,000. Competitive for the role. Your base covers your life; your ownership builds your freedom.
  • Equity: You receive a formal ownership stake via Profits Interest Units (PIUs) - Class B Membership Interests with a $0 strike price. Not options. Not RSUs. Actual ownership that participates in the upside from day one and qualifies for Capital Gains tax treatment.
  • Profit Sharing: As an equity holder, you receive a pro-rata share of the company's Free Cash Flow - real cash, every year. Not a promise tied to a future exit.
  • Liquidity: We run an Annual Tender Offer where the company buys back vested interests at fair market value. You can convert ownership into cash every year. No waiting for an IPO.
  • Benefits: 100% premium coverage for you and your family, daily catered lunches, unlimited PTO that we actually expect you to use.

How to Apply
We skip the 60-minute recruiter screen. You'll answer a few short video questions (2 minutes each) so we can see how you think. Takes about 15 minutes - less than a phone screen, on your own schedule.
  • Click Apply.
  • Record short video responses to our questions. No prep needed - we want natural thinking, not rehearsed answers.
  • Your responses go directly to the hiring team. No ATS. No keyword filters.

  • We're looking for signal on who you are, not polished presentations.

What you need to know about the Los Angeles Tech Scene

Los Angeles is a global leader in entertainment, so it’s no surprise that many of the biggest players in streaming, digital media and game development call the city home. But the city boasts plenty of non-entertainment innovation as well, with tech companies spanning verticals like AI, fintech, e-commerce and biotech. With major universities like Caltech, UCLA, USC and the nearby UC Irvine, the city has a steady supply of top-flight tech and engineering talent — not counting the graduates flocking to Los Angeles from across the world to enjoy its beaches, culture and year-round temperate climate.

Key Facts About Los Angeles Tech

    • Number of Tech Workers: 375,800; 5.5% of overall workforce (2024 CompTIA survey)
    • Major Tech Employers: Snap, Netflix, SpaceX, Disney, Google
    • Key Industries: Artificial intelligence, adtech, media, software, game development
    • Funding Landscape: $11.6 billion in venture capital funding in 2024 (Pitchbook)
    • Notable Investors: Strong Ventures, Fifth Wall, Upfront Ventures, Mucker Capital, Kittyhawk Ventures
    • Research Centers and Universities: California Institute of Technology, UCLA, University of Southern California, UC Irvine, Pepperdine, California Institute for Immunology and Immunotherapy, Center for Quantum Science and Engineering
